Position Overview
We are seeking a dedicated Executive Assistant to work full-time onsite at our Herndon, VA office. This role involves multifaceted executive support along with office administrative responsibilities.
Primary Responsibilities
- Manage complex calendars, schedule meetings, prepare agendas, take notes, and follow up on action items for senior executives.
- Arrange both domestic and international travel, coordinate business dinners, client events, office meetings, training sessions, and onboarding activities.
- Handle daily office operations, including managing vendor relations, facility maintenance requests, office supplies inventory, and snack provisions.
- Assist recruiting and business operations by organizing interviews, coordinating candidates, managing documentation, preparing presentations, and supporting administrative projects.
- Process executive expense reports, monitor reimbursements, and work with Finance and Accounts Payable to ensure timely and accurate financial processing.
Qualifications
- 3 to 5 or more years of experience supporting senior leaders as an Executive Assistant, Administrative Specialist, or comparable role.
- Proficient in Microsoft Office Suite applications including Excel, Word, PowerPoint, and Outlook.
- Strong organizational skills with excellent multitasking capabilities and meticulous attention to detail.
- Effective written and verbal communication skills with professionalism across organizational levels.
- Ability to manage confidential information sensitively, anticipate executive needs, take initiative, and independently or collaboratively conclude tasks.
