The company is hiring for a global investment management firm seeking a skilled Executive Assistant to support a Partner and the Research Team. This is an excellent chance for an organized, professional individual who excels in a high-paced financial services setting and values close interaction with senior leaders. The job starts as remote work and will transition to a full-time, onsite role in New York City.
Key Responsibilities
- Deliver top-tier administrative assistance to a Partner and the Research Team.
- Handle complex calendar management, coordinating meetings while prioritizing scheduling conflicts.
- Organize domestic and international travel arrangements such as flights, accommodations, transport, and detailed itineraries.
- Create, revise, and format presentations, reports, correspondence, and other business documents for the team.
- Arrange and coordinate conference calls, video meetings, and on-site meetings, ensuring logistics and materials are ready.
- Manage expense reporting and assist with invoice tracking alongside administrative duties.
- Keep electronic and paper filing systems organized and maintain confidentiality of business records.
- Track follow-ups, deadlines, and action items to guarantee prompt completion.
- Support the Partner and Research Team on research projects, special tasks, and other administrative assignments.
- Act as a liaison among the Partner, Research Team, clients, investors, vendors, and other departments, maintaining professionalism and confidentiality.
- Help with general office operations during the shift to a full-time, in-office structure.
Candidate Qualifications
- A Bachelor's degree is preferred.
- Minimum five years’ experience as an Executive Assistant supporting senior executives.
- Prior work in investment management, hedge funds, private equity, financial services, or similar professional services is highly desirable.
- Experience assisting investment professionals, research groups, or multiple executives preferred.
- Strong organizational skills and ability to handle multiple priorities effectively.
- Excellent written and oral communication abilities.
- Advanced skills in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
- Meticulous attention to detail, strong follow-through, and problem-solving capabilities.
- Ability to manage confidential information discreetly and with professionalism.
- Self-driven with capability to work independently and collaborate within a team.
