Job Overview

We are looking for a seasoned Buyer to join our dynamic procurement team within the hospitality sector. This role involves managing sourcing, negotiation, and purchasing activities for diverse items such as food and beverage products, operating supplies, maintenance items, equipment, and various services for multiple resort properties. The Buyer ensures consistent quality, cost-efficiency, timely delivery, and cultivates strong supplier partnerships.

Key Responsibilities

Identify, assess, and select suppliers to ensure competitive pricing and dependable product quality.
Maintain and strengthen relationships with vendors to support operational goals and long-term partnerships.
Lead contract negotiations including pricing, rebates, and service terms to optimize value and reduce expenditures.
Design and execute procurement strategies aligned with operational needs and budgetary goals.
Accurately process purchase orders in compliance with company policies and procedures.
Address discrepancies in invoices and resolve supplier-related issues promptly.
Work closely with other departments to forecast demand and manage inventory levels to avoid shortages or surpluses.
Verify receipt of goods and services per purchasing agreements before authorizing payment.
Ensure compliance with quality, safety, and regulatory standards, especially food safety regulations.
Monitor supplier performance through evaluations and supplier rating programs.
Perform industry market analysis to spot trends, innovations, alternative vendors, and cost-saving prospects.
Analyze spending patterns and supplier data to support strategic sourcing decisions.
Compile relevant procurement reports covering expenditures, savings, and supplier performance.
Maintain organized records of purchasing documentation, agreements, and supplier information.
Contribute to annual budgeting and forecasting with spend analysis and procurement insights.
Encourage and implement continuous improvements in procurement and supply chain processes.
Perform other related duties as needed.

Qualifications and Experience

A minimum of 5 to 8 years of experience in Buying, Purchasing, Procurement, or Supply Chain roles.
Preferred background in hospitality, hotel, resort, vacation ownership, food service, or retail industries.
Proficiency in managing vendor relations, contract negotiation, and procurement workflows.
Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, Logistics, Finance or a closely related discipline.
Certifications such as CPSM, CPPB, or CSCP are advantageous but not mandatory.
Strong skills in negotiation, strategic sourcing, and vendor management.
Excellent analytical capabilities with emphasis on cost control and process refinement.
Advanced knowledge of Microsoft Office tools including Excel for data reporting and analysis.
Experience with procurement software, ERP systems, preferably Oracle ERP.
Understanding of Procure-to-Pay processes, purchasing standards, and supply chain fundamentals.
Knowledge of inventory management and demand planning concepts.
Exceptional communication, relationship management, and customer service skills.
Highly organized with keen attention to detail and accuracy.
Capacity to juggle multiple projects and meet deadlines in fast-paced environments.
Ability to collaborate effectively with cross-functional teams including operations, finance, and food & beverage departments.
Familiarity with best practices in hospitality procurement and supplier management is preferred.
