Position Overview
The Business Operations Coordinator plays a key role in overseeing and managing daily business functions to ensure alignment with customer satisfaction and company objectives. This position operates entirely remotely, with further location-specific discussions occurring during the interview phase.
Key Responsibilities
- Prioritize workplace safety, ensuring all employees adhere to safe working practices.
- Support Service Managers in coordinating and managing routine business operations.
- Oversee and regulate business activities to fulfill client expectations and achieve company goals.
- Serve as a liaison between customers and management to facilitate seamless service delivery.
- Organize and manage project tasks to ensure completion within budget and timelines.
- Ensure all company standards and procedures are strictly followed.
- Maintain strong client relationships through frequent meetings and communications.
- Lead and document internal project meetings; participate and record external meetings.
- Resolve multiple high-priority project issues efficiently and timely.
- Analyze current operational performance and recommend strategic improvements.
- Guide internal teams to meet performance benchmarks.
- Identify and promptly address operational challenges.
- Adhere to standard procedures to promote efficient operations.
- Keep comprehensive and accurate operational documentation.
- Perform essential administrative tasks including project filing system setup and maintenance.
- Process vendor invoices with accurate cost coding and validate corrections.
- Prepare and manage extra work orders, subcontracts, and purchase orders.
- Communicate change orders to subcontractors and follow up accordingly.
- Assist in monthly profitability reviews and collaborate with teams to reach financial targets.
- Review, track, and approve/disapprove CMMS work orders for invoicing purposes.
- Create invoices for project manager approval before submission to clients.
- Propose process improvements, embrace new technology initiatives, and coordinate changes with management.

- Experience working within a diverse, employee-owned company is beneficial.
- Strong communication skills to translate vision into executable plans.
