Overview
The Assistant Property Manager is essential in supporting the Property Manager with daily operations of residential property portfolios. This role helps uphold high maintenance and operational standards while assisting with financial, administrative, and compliance tasks to ensure properties remain well-managed and profitable.
Key Duties
- Help schedule and supervise maintenance and repairs after approval, ensuring properties are kept in good condition.
- Address tenant questions promptly and professionally.
- Perform regular site inspections to detect and resolve maintenance concerns.
- Coordinate with vendors and contractors to guarantee timely, quality work.
- Inspect vacant units thoroughly.
- Keep detailed records of maintenance activities and confirm adherence to safety protocols.
- Maintain courteous communication with Building Managers to resolve issues effectively.
- Support budget preparation and management alongside the Property Manager.
- Source quotes and analyze bids as part of property tender processes.
- Collect rent and other fees, ensuring timely and accurate processing.
- Organize and maintain comprehensive property documentation.
- Draft lease contracts, notices, and other official documents.
- Assist marketing initiatives to attract prospective tenants.
- Contribute to development and implementation of Standard Operating Procedures (SOPs).
- Provide tenant support to promote satisfaction and retention through clear communication and problem-solving.
- Ensure compliance with relevant local, provincial, and federal regulations affecting property management.
- Enforce property rules and procedures consistently.
- Promote and maintain a safe environment for tenants and staff, reporting incidents as necessary.
- Handle any additional responsibilities or special projects assigned by management.
Qualifications
- Between 2 to 5 years’ experience in residential property management, real estate, or similar fields.
- Excellent customer service and communication skills, adept at handling tenant inquiries and resolving issues.
- Highly organized with attention to detail and ability to manage multiple tasks independently.
- Experience supporting budgeting, rent collection, and lease administration processes.
- Familiarity with property management software such as Yardi (asset) and proficient use of Microsoft Excel.
- Knowledge of landlord-tenant laws and property regulations is advantageous.
- Skilled at working alongside vendors and contractors, supporting daily building operations.
- Proactive, dependable, and capable of maintaining confidentiality and exercising sound judgment.
- Flexible availability for supporting the Property Manager, including occasional on-call duties for emergencies.
