Job Overview
EPITEC is seeking a detail-oriented and energetic Administrative Assistant to provide essential support to several Market Managers in a dynamic corporate setting. This position plays a vital role in ensuring efficient day-to-day operations by expertly managing calendars, coordinating travel, and facilitating collaboration across teams.
Key Responsibilities
- Oversee complex calendars managing meetings, travel plans, and team schedules with foresight to avoid conflicts.
- Liaise with internal teams and external partners to coordinate scheduling and events.
- Organize comprehensive travel arrangements including flights, accommodation, and detailed itineraries.
- Manage submission and tracking of expenses promptly following company policies.
- Plan and execute meeting logistics including preparation of materials, venue setup, and onsite assistance.
- Generate reports, presentations, and handle official correspondence while keeping documentation and office systems well organized.
- Provide additional assistance by addressing ad hoc tasks and managing special projects with professionalism.
Requirements
- Minimum of two years’ experience in an administrative or executive assistant role.
- Proven capability in managing calendars and scheduling effectively.
- Skilled in arranging corporate travel and administering expense reports.
- Strong communication aptitude combined with excellent organizational skills.
- Proficiency in Microsoft Office applications including Excel, Word, and PowerPoint.
- Adept at handling multiple priorities in a fast-moving work environment.
Preferred Qualifications
- Experience supporting multiple leaders concurrently.
- Familiarity with a corporate office environment.
- High level of attention to detail and confidentiality.
Additional Information
- Position Type: Full-time contract, 40 hours per week with an immediate start.
- Compensation: $26 per hour.
- Work Arrangement: Hybrid model requiring onsite presence typically on Tuesdays and Wednesdays, with additional onsite days as necessary.
