Position Summary
This casual role involves working three days weekly in Ringwood, Victoria, situated on the traditional lands of the Wurundjeri People, with the possibility of permanent employment. The position offers $43.73 per hour, inclusive of 25% casual loading, plus 12% superannuation and generous salary packaging benefits up to $18,550 annually.
Key Responsibilities
- Manage customer appointments, referrals, and clinician schedules to facilitate smooth service operation.
- Deliver high-standard administrative assistance across diverse health programs including IDEAS, Diabetes Education, Health@Home, Care Pathway, and specialist clinics.
- Address internal and external queries with professionalism and empathy.
- Oversee client onboarding procedures, correspondences, service agreements, and waiting list administration.
- Maintain precise records such as reports, presentations, meeting minutes, and communications.
- Support billing protocol, data processing, and reporting tasks.
- Coordinate administrative efforts to meet program compliance and funding obligations.
- Participate in project work, logistics coordination, and initiatives for service enhancement.
- Foster constructive relationships with customers, clinicians, and community partners.
- Ensure a person-centered, inclusive, and welcoming atmosphere for all service users.
Candidate Profile
- Prior experience in administrative or office support roles is essential.
- Strong organizational capabilities and adeptness in administration tasks.
- Exemplary customer service skills coupled with a professional and approachable demeanor.
- Proficiency with Microsoft Office Suite and familiarity with design tools like Canva.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks efficiently while managing multiple demands in a dynamic setting.
- High attention to detail and effective problem-solving aptitude.
- Capacity to work autonomously and collaboratively with team members.
- Possession of emotional intelligence, resilience, and a positive outlook.
- Knowledge of healthcare environments is advantageous.

- Previous involvement in health, community, or allied health sectors.
- Understanding of the not-for-profit industry.
- Relevant tertiary education qualifications.
- Experience juggling various programs or service areas concurrently.
- Competence with client management, appointment scheduling, or healthcare administrative systems.
