About the Role

SIMONMILLER, a rapidly expanding fashion brand with global wholesale presence, seeks a Wholesale Operations Coordinator to manage the core operations behind our wholesale activities. This position offers comprehensive exposure to the wholesale supply chain, tracking goods from arrival at our third-party logistics (3PL) provider all the way through allocation, shipment, and final delivery to premier department stores and specialty boutiques.

The role involves utilizing various software systems including ERP, allocation tools, wholesale order platforms, and warehouse management systems of 3PL partners—building essential skills required for a career in supply chain or wholesale operations. Additionally, the position includes direct interaction with both major retail clients and independent boutiques, adapting to the unique demands of each.

Key Responsibilities

  • Monitor inbound shipments from factories to 3PL warehouses by tracking shipment records and Advance Ship Notices (ASNs), updating records accordingly.
  • Confirm the accuracy of received goods against purchase orders and packing lists, maintaining alignment with shipping schedules and alerting management of any risks.
  • Coordinate with sales teams to manage shipment delays, securing extensions and adjusting orders as approved.
  • Assist with inventory allocation across wholesale accounts through ERP tools including order review, SKU-based allocation, and accuracy verification prior to release.
  • Communicate inventory shortages to sales teams, adjust orders based on priorities and payment status, and close out back orders to ensure accurate Available To Sell (ATS) data.
  • Coordinate time-sensitive stock transfers between warehouses as needed, responding promptly to requests.
  • Oversee order fulfillment by coordinating pick tickets, shipments, and carrier routing with 3PLs, resolving any warehouse system exceptions with customer service.
  • Maintain oversight of inventory and shipping status to ensure orders ship within their designated windows.
  • Serve as the primary operational contact for key wholesale accounts, ensuring up-to-date records regarding distribution centers and routing instructions.
  • Manage retail Return Authorizations, including creation, tracking, and reporting.
  • Ensure accuracy of order details across ERP and vendor portals, including PO numbers, styles, shipping windows, and entering required HTS codes and invoices.
  • Handle prepaid boutique order processing, coordinating allocation, payment confirmations, credit releases, and transmission of pick tickets.
  • Provide responsive support to smaller specialty accounts on order status and shipping communications.
  • Maintain accurate customer records and profile data within ERP and aid in onboarding new accounts.
  • Support inventory adjustments and keep comprehensive tracking of open orders, in-transit stock, and allocation status.
  • Conduct post-market audits reviewing order types, delivery windows, seasonality, and selling periods.

Qualifications

  • 2 to 4 years of experience in wholesale operations, allocation, order management, or supply chain coordination, ideally within the fashion/apparel industry.
  • Ability to work comfortably with multiple software systems simultaneously; quick learner of new ERP, wholesale platforms, and warehouse management systems.
  • Familiarity with wholesale order platforms (such as Joor, NuOrder), ERP systems (RLM, NetSuite, Blue Cherry), or 3PL/WMS collaboration is advantageous.
  • Passionate about wholesale dynamics, proficient in navigating both major account structures and boutique relationships.
  • Detail-oriented with a knack for identifying discrepancies early.
  • Effective in high-velocity environments with strong organizational skills.
  • Proficient in ERP software and spreadsheet tools like Excel and Google Sheets.
  • Excellent communicator who proactively manages follow-through with internal teams and external partners.
