About the Role

This position supports the daily running of a global corporate travel program for employees across multiple regions. The role is based in Chandigarh and requires working US business hours from India. It is a practical, process-driven position within a shared services setup, focused on providing smooth travel support and a strong employee experience.

Role Summary

The Travel Administrator will assist employees with bookings, itinerary support, travel policy compliance, expense processing, and corporate card administration. The role relies mainly on Concur and Coupa and requires close coordination with internal teams such as Accounts Payable. It also involves maintaining accurate records, supporting reporting, and helping improve travel operations.

Key Responsibilities

  • Support employees with travel reservations and itinerary-related assistance.
  • Check and process T&E expense reports for correctness and policy adherence.
  • Manage the corporate T&E card program, including tracking active cards and assisting cardholders.
  • Answer travel-related employee queries and resolve booking or expense issues promptly.
  • Handle travel pre-approvals and ensure that company travel policy is followed.
  • Keep travel and expense records accurate for reporting and audit purposes.
  • Prepare routine travel and expense reports for the Senior Manager, Travel.
  • Assist with supplier invoice reconciliation alongside Accounts Payable.
  • Share travel policy changes and guidance with employees across the region.
  • Contribute to travel-related projects and ongoing process improvements.

Requirements

  • A bachelor’s degree or diploma in Business, Hospitality, or a related discipline is required; equivalent experience may also be considered.
  • At least 4 years of experience in corporate travel, expense administration, or a shared services environment is needed.
  • Hands-on experience with a travel or expense management platform such as Concur is preferred.
  • Previous experience in the software industry is mandatory.
  • Must be willing and able to work US business hours in a shift-based model from India.
  • Strong organizational ability and a sharp eye for detail are essential.
  • Experience with T&E card administration is an added advantage.
  • Familiarity with Coupa or similar procurement/expense systems is preferred.
  • Candidates should be comfortable using AI tools such as Microsoft Copilot or ChatGPT to draft communications, identify expense anomalies, and improve work efficiency.
  • Applicants should be open to adopting new AI capabilities as part of daily travel administration work.

Additional Information

The role is full-time and onsite in Chandigarh, Chandigarh, India. The work schedule is aligned to US business hours from India.
