About the Role

The System Administrator role involves managing day-to-day administrative functions with a focus on handling official email communication, coordinating with various stakeholders, maintaining records, and ensuring effective office operations. This role demands proficiency in professional email management, excellent communication capabilities, and strong organizational skills.

Key Responsibilities

  • Oversee and monitor official email accounts to guarantee prompt responses.
  • Compose, format, and dispatch professional emails, notices, letters, and official correspondences.
  • Facilitate email communication among management, employees, clients, vendors, and other parties.
  • Track email requests, manage follow-ups, and ensure timely resolution of outstanding tasks.
  • Maintain detailed email records, correspondence files, and document archives.
  • Prepare and distribute daily or weekly status updates, reports, and administrative communications.
  • Organize meetings by sending invitations and coordinating follow-ups.
  • Manage document-related duties such as preparation, scanning, filing, and record upkeep.
  • Liaise with different departments to collect necessary information and updates.
  • Ensure confidentiality of company communications and sensitive data.
  • Assist in administrative tasks including office coordination, vendor communication, and data handling.

Required Qualifications and Skills

  • Bachelor’s degree in System Management, Email Follow-ups, or a related discipline.
  • Proficiency in crafting professional emails and understanding communication etiquette.
  • Competence with MS Office suite including Word, Excel, Outlook, and PowerPoint.
  • Strong verbal and written communication abilities.
  • Skillful in managing multiple emails, tasks, and priorities.
  • Excellent organizational aptitude and keen attention to detail.
  • Capability to maintain accurate documentation and follow-up records.

Preferred Skills

  • Prior experience in managing email communications effectively.
  • Knowledge of office administration procedures.
  • Experience using Microsoft Outlook, Google Workspace, or similar email platforms.
  • Aptitude in preparing reports and maintaining tracking systems.

Performance Metrics

  • Timely handling and response to official emails.
  • Accuracy and professionalism in all email correspondences.
  • Efficient tracking and closure of requests and tasks.
  • Successful coordination with internal and external stakeholders.

Additional Information

Applicants should have between 7 to 12 months (0.6 to 1 year) of relevant experience in administration, email coordination, customer support, or office coordination roles.
