Job description
About Nabu Casa
Nabu Casa is the organization behind Home Assistant, a leading open-source smart home platform utilized by millions of households globally. Founded to ensure the project's long-term viability, Nabu Casa partnered with the Open Home Foundation in 2024 to champion various open-source initiatives. Our core values of privacy, choice, and sustainability are fundamental to all our operations and product development.
As a self-funded entity without external investors, Nabu Casa's revenue is generated directly from user subscriptions to Home Assistant Cloud and hardware sales, ensuring our focus remains on our employees and users. We actively support other open-source projects, including those in hardware, standards, and voice technology.
The Role
Nabu Casa seeks a Supply Chain Coordinator to manage the complete lifecycle of our hardware products, from manufacturing partners to distributors and end-users. This pivotal role ensures the reliable supply of Home Assistant hardware to our global community. The position involves overseeing daily operations such as purchase orders, manufacturer liaison, logistics, distributor support, inventory management, and RMA processing. A key aspect of this role will be to develop and document standardized, repeatable processes for these functions.
As part of our strategic expansion, we are growing the Commercial team to enhance our global operations and partner ecosystem. This role is crucial for scaling our international hardware operations across diverse regions and distribution channels. We are hiring due to rapid growth and the need for dedicated ownership to manage increasing demand. The successful candidate will have significant autonomy from the outset, taking charge of resolving critical issues like shipment delays, urgent distributor needs, or stock allocation challenges.
You will collaborate closely with the Global Channel Manager, Hardware team, and Finance team, as well as directly with manufacturers, distributors, and logistics providers. Reporting to the VP Commercial, based in Norway, you will be an integral part of the Commercial team.
Why This Role and Why Now
- Own a Function, Not a Task: This is an opportunity for individuals with prior logistics or supply chain coordination experience in more structured environments to take full ownership of an entire function. Success is defined by the seamless operation of the supply chain with minimal oversight.
- Build and Structure: As a lean organization, Nabu Casa values individuals who can establish structure. You will be expected to implement best practices, document Standard Operating Procedures (SOPs), and shape the supply chain function as the company expands.
- Operational and Strategic Impact: Beyond daily management, you will analyze forecast data to inform ordering decisions and leverage modern tools, including AI-assisted workflows, for enhanced efficiency.
- AI-Powered Support: We utilize AI to augment our team's capabilities, not to replace them.
- Stable and Mission-Driven: Our profitability, lack of external investors, and community-funded model ensure a stable environment focused on delivering value to millions of users.
What You'll Do
- Oversee the complete supply chain for hardware products, from manufacturers to distributors across various international regions.
- Initiate and manage manufacturer purchase orders, tracking them through to final delivery.
- Engage directly with manufacturers regarding lead times, production schedules, shipment planning, and immediate operational issues.
- Provide essential back-office support to distributors, including order coordination, delivery status updates, and issue resolution.
- Maintain accurate order flow and inventory records within the NetSuite ERP system.
- Manage partial deliveries, strategic stock allocation across regions, and overall inventory coordination.
- Coordinate global logistics operations with freight forwarders and third-party logistics providers.
- Administer the end-to-end RMA process, encompassing coordination, root-cause analysis, and manufacturer reconciliation.
- Analyze forecast data and current inventory levels to guide purchasing decisions for optimal stock levels.
- Develop and maintain comprehensive Standard Operating Procedures (SOPs) and other supply chain documentation.
- Identify operational bottlenecks and implement continuous improvements to enhance supply chain efficiency as the company scales.
- Collaborate cross-functionally with the Hardware, Commercial, and Finance teams to ensure alignment and smooth operations.
What You Need To Have
- A minimum of 4 years of experience in supply chain, logistics, purchasing, or operations, with demonstrated hands-on responsibility.
- Direct experience managing manufacturers, including placing and tracking purchase orders, and coordinating lead times and production schedules. Prior experience with Asian manufacturing partners is highly desirable.
- Proficiency in communicating with international manufacturing partners, particularly in Asia, understanding professional etiquette and appropriate communication styles.
- A practical understanding of inventory management principles, stock allocation strategies, and handling partial deliveries.
- Experience coordinating international shipments and managing global logistics.
- Familiarity with an ERP system (e.g., NetSuite, SAP, Odoo) and confidence in managing purchase orders and deliveries within such a system.
- A proven ability to establish structure by documenting processes, writing SOPs, and improving workflows, ideally drawing from experience in companies with established supply chain practices.
- The capacity to work independently with a high degree of ownership in a dynamic, fast-paced environment with minimal formal structure.
- An analytical approach, utilizing reporting and forecast data to inform decision-making.
- Strong organizational, problem-solving, and communication capabilities.
It Would Be Great If You Also Have
- Specific experience utilizing NetSuite.
- Background in hardware, consumer electronics, or e-commerce operations, particularly with direct manufacturer engagement.
- Familiarity with AI tools and workflow automation.
- Experience supporting distributor or channel operations.
- Personal experience with Home Assistant and an appreciation for open-source, community-driven products.
