Supply Chain Operations Specialist

Position Overview

The Supply Chain Operations Specialist is responsible for overseeing the daily management of customer order processing, inventory handling, and coordination with third-party fulfillment partners. This role acts as a vital operational bridge connecting Sales, Finance, Customer Support, 3PL providers, and Supply Chain teams.

Key Duties

• Manage order lifecycle, reviewing new customer orders via HubSpot, ensuring smooth integration into NetSuite, verifying product availability, and coordinating inventory allocation.
• Collaborate with Finance to confirm accuracy in billing and order documentation.
• Create and update customer orders in Bolt OMS, liaise with 3PL and fulfillment partners to guarantee prompt picking, packing, and shipment.
• Track order progress from receipt through delivery, promptly addressing any system errors, fulfillment discrepancies, or order exceptions.
• Maintain proactive communication with internal stakeholders regarding order status and customer commitments.
• Handle inventory activities including processing inbound and outbound stock transactions, ensuring data consistency across NetSuite, OMS, and warehouse platforms.
• Conduct inventory reconciliations, participate in cycle counts, physical inventories, and audits to uphold inventory accuracy.
• Document all inventory movements precisely.

Cross-Functional Interaction

This role requires close collaboration with Sales, Finance, Customer Support, Engineering teams, third-party logistics providers, and suppliers to maintain streamlined order fulfillment operations.

Systems Utilized

Regular use of HubSpot CRM, NetSuite ERP, Bolt OMS, Microsoft Excel, Microsoft Teams, and third-party logistics portals. Experience with similar ERP, OMS, or WMS platforms is considered valuable.

Candidate Qualifications

• 2 to 5 years of proven experience within Supply Chain, Operations, Order Management, Inventory Control, or Logistics domains.
• Proficiency working with ERP, OMS, or WMS software systems.
• Strong organizational aptitude and excellent time management capabilities.
• Meticulous attention to detail paired with excellent communication and problem-solving skills.
• Intermediate knowledge of Microsoft Excel.

• Preferred experience includes familiarity with NetSuite, HubSpot, Bolt OMS, 3PL logistics partnerships, inventory management, cycle counting, and supporting environments in technology, manufacturing, or distribution operations.

Success Indicators

Within the initial 90 days, the specialist will effectively manage customer orders across multiple platforms, maintain precise inventory records, foster collaborative relationships with internal teams and fulfillment partners, manage operational challenges proactively, and seek continuous process improvements to enhance efficiency and reduce manual workload.
