Job Purpose
This role involves managing and coordinating the shipment of pharmaceutical products and active pharmaceutical ingredients (APIs) from internal and external production sites to global customers and affiliates. Responsibilities include overseeing the entire import/export process, ensuring seamless logistics from origin to destination, and preparing all necessary shipping documents. The position supports procurement by collaborating with suppliers, third-party logistics providers, customs brokers, and carriers to organize inbound and outbound deliveries. Partnering closely with the Supply Chain Team Lead, the role also helps develop and implement new distribution strategies to enhance efficiency and aid business expansion.
Key Responsibilities
- Oversee and coordinate order fulfillment by communicating with suppliers, internal teams, and logistics partners to ensure timely delivery of shipments, prioritizing urgent orders.
- Collaborate with departments such as Sales, Production, Quality, Regulatory, and Finance to resolve issues promptly and professionally.
- Prepare complete and accurate import/export documentation for international shipments.
- Handle logistics escalations, including claims when necessary.
- Analyze transportation costs and participate in evaluating logistics providers and optimizing expenses.
- Track and manage logistics complaints, ensuring proper investigation and corrective measures.
- Work with Responsible Person to maintain compliance with Good Distribution Practice (GDP) among customers, suppliers, and carriers.
- Assist Finance in preparing credit and debit notes related to price adjustments.
Education and Experience
- A third-level qualification in Supply Chain, Logistics, Business, or a similar field, or equivalent practical experience.
- Typically 2 to 5 years of supply chain or logistics experience, preferably within pharmaceuticals, life sciences, or regulated sectors.
- Experience managing international suppliers, customers, and logistics partners.
- Knowledge of Irish and EU customs regulations, as well as import/export compliance and documentation standards.
- Understanding of quality and compliance in regulated settings (GDP/GMP preferred).
Skills and Competencies
- Thorough knowledge of international logistics processes, including import/export procedures, customs compliance, and Incoterms.
- Experience coordinating the global shipment of pharmaceutical products, including temperature-sensitive logistics when applicable.
- Familiarity with GDP guidelines and regulatory standards such as from HPRA and the EU.
- Proficient in supply chain and ERP systems (e.g., SAP) and shipping documentation platforms.
- Capability to prepare and manage shipping paperwork (commercial invoices, packing lists, certificates of origin, export declarations) accurately.
- Strong grasp of freight transport modes (air, sea, road) and management of carriers and third-party logistics providers.
- Competence in inventory coordination, order processing, and supporting procurement activities.
- Advanced skills in Microsoft Excel for data analysis, reporting, and monitoring logistics flows.
- Problem-solving attitude with proactive issue resolution while maintaining service quality.
- Attention to detail and accuracy in managing logistics data across various systems.
