Position Overview

Reporting to the Senior Supply Chain Officer, the Supply Chain Assistant plays a vital role in facilitating efficient and compliant procurement, logistics, and asset management processes. This role ensures timely acquisition and delivery of goods and services aligned with organizational policies, donor regulations, and value-for-money standards. The assistant works collaboratively with program, finance, and field teams to uphold seamless program operations by maintaining accurate documentation, monitoring procurement schedules, liaising with vendors, and managing inventory control. The position demands high organizational aptitude, meticulous attention to detail, and multitasking capabilities within a dynamic environment.

Key Responsibilities

  • Implement and sustain IRC’s standardized procurement policies and procedures.
  • Ensure all procurement activities comply with IRC and donor requirements.
  • Participate in procurement committee meetings diligently.
  • Coordinate with Finance, Administration, and Program teams to maintain internal controls, ensure prompt vendor payments, and provide complete audit support.
  • Promote transparency and responsiveness throughout the procurement processes.
  • Communicate and plan regularly with program staff regarding supply orders and delivery timelines.
  • Guarantee timely delivery of all required supplies, services, and equipment.
  • Build and maintain ethical, professional relationships with suppliers.
  • Keep updated supplier information and monitor local market conditions for frequently procured items.
  • Offer necessary training support for procurement and program staff when needed.
  • Provide procurement-related advice and suggest improvements to the Field Manager.
  • Perform any additional tasks assigned by the Field Manager.

Qualifications and Competencies

  • Possession of a Degree or Diploma in Procurement and Supply Chain Management.
  • Minimum of 2 years experience in related procurement or supply chain roles.
  • Strong integrity and personal commitment to responsibilities.
  • Exceptional attention to detail with the ability to handle multiple tasks concurrently.
  • Excellent teamwork and problem-solving skills.
  • Familiarity with common Supply Chain Management systems and documentation.
  • Proficiency in both spoken and written English.
  • Good numerical and mathematical skills.
  • Computer literacy including basic maintenance skills.
  • Strong interpersonal, organizational, and time management capabilities.
