Role overview
The Store Inventory Library Officer will safeguard the accuracy, consistency, and long-term quality of the company’s master item library within the ERP system. In a construction environment where thousands of specialized materials are used across structural, civil, and MEP categories, this role makes sure every stock item is described clearly, classified correctly, and recorded without ambiguity.
By keeping a dependable single reference point for item data, the officer helps Procurement buy the correct materials for engineering and project needs, while enabling Stores and Warehouse teams to monitor stock accurately and avoid duplication, confusion, and purchasing delays.

ERP master data and library control
The selected candidate will oversee the stock item library in the ERP platform and ensure all records follow approved cataloguing rules and internal taxonomy standards.
- Serve as the main custodian of the ERP stock item library and ensure every entry follows company cataloguing requirements.
- Review, verify, and authorize requests to add new items into the system.
- Organize items into clear standard categories such as Civil, MEP, Finishes, Tools, and Plant & Machinery to support filtering, reporting, and tracking.
- Audit item records regularly to identify duplicates, outdated entries, and poorly structured data, then merge, clean, or retire them as needed.
- Maintain strict consistency in units of measure to prevent quantity mistakes and stock variances.
Technical specification and item description management
This role also requires careful standardization of item names and detailed technical descriptions so the ERP library remains searchable and dependable across teams.
- Apply a structured naming format that clearly identifies each item using its noun, attributes, and specifications.
- Work with project engineers, estimators, and quality control teams to capture correct technical details such as dimensions, grades, standards, and manufacturer part numbers.
- Attach supporting documents where necessary, including technical datasheets, drawings, compliance certificates, and reference images, to help verify items during goods receipt.
Qualifications and experience
The preferred background for this role combines strong data discipline with an understanding of technical construction materials.
- A bachelor’s degree in Data Management, Information Systems, Supply Chain Management, Logistics, Business Administration, or a related discipline is preferred.
- A diploma or degree in Civil, Mechanical, or Electrical Engineering is also valuable when paired with strong data handling ability.
- Between 3 and 5 years of practical experience in Master Data Management, ERP cataloguing, inventory control, or technical catalogue administration is required.
- Prior exposure to construction, civil engineering, MEP contracting, or heavy manufacturing environments is strongly preferred.
Technical and system skills
The role requires strong systems knowledge and advanced spreadsheet capability for handling large volumes of item data.
- Comfortable working with ERP platforms and master data processes.
- Advanced Microsoft Excel capability, including lookups, Power Query, pivot tables, text formatting tools, and data validation.
- Understanding of coding and classification standards used in structured catalogues is an advantage.
