Role overview

This position calls for a procurement and contracts specialist who can guide internal teams, support sourcing activities, and help ensure that purchasing decisions meet business needs while keeping costs controlled and value high for the organization. The role also involves regular coordination with vendors and internal stakeholders to resolve procurement and contract-related matters and maintain smooth departmental operations.

Key responsibilities

  • Apply procurement and contract policies and procedures to support effective purchasing and contract administration across the organization.
  • Contribute to the early stages of contract preparation, assist in drafting tender documents, and review procurement submissions to keep sourcing activities efficient and effective.
  • Work with internal teams to develop RFPs, RFIs, RFQs, and post-tender clarification documents, ensuring business requirements are clearly defined and aligned with organizational standards.
  • Act as a reference point for contractual guidance across departments and help strengthen purchasing knowledge within the organization.
  • Coordinate bidder meetings to explain standard terms, conditions, and scope of work, and support tender openings and technical discussions.
  • Manage current agreements and contracts, including outsourced services and service level agreements, while addressing vendor-related concerns on behalf of the organization.
  • Oversee the end-to-end procurement cycle for major projects, facility management services, urgent assignments, contract administration, and contractual dispute handling.
  • Maintain complete and accurate records in both digital and physical formats, and keep vendor contract files properly updated.
  • Handle contracts, NDAs, LOIs, LOAs, and long-term supplier agreements in line with budget limits and cost-saving objectives.
  • Build and sustain productive supplier relationships to speed up procurement activity and secure dependable support when urgent needs arise.
  • Resolve procurement process issues such as payment disputes and delivery/tracking follow-ups, while coordinating with vendors and relevant departments to ensure contractual compliance.
  • Take part in vendor rate discussions, negotiate variations, resolve exceptions and deviations, and support compliance checks.
  • Secure compliant vendor quotations, assess commercial offers, negotiate pricing, finalize contract terms, and recommend awards.
  • Manage vendor contracts effectively, including variation valuation, provisional sum and prime cost item assessment, dispute handling, payment application review, and commercial close-out of projects.

Qualifications and experience

A bachelor’s degree in Engineering or an equivalent qualification is required. The role needs at least 6 years of relevant experience, ideally gained in building construction and infrastructure projects, with a strong record of delivering similar assignments successfully.
