Role Overview
Reporting to the Head of Sales for North America, the Showroom & Executive Assistant plays a vital part in managing daily showroom functions, assisting with market events, overseeing sample logistics, and supporting wholesale sales operations. This role demands a resourceful, organized individual capable of thriving in a dynamic luxury wholesale environment.
Primary Responsibilities
- Maintain showroom presentation standards including merchandising, tidiness, and visual orderliness.
- Prepare showroom for market events and buyer meetings by steaming, tagging, hanging merchandise, organizing racks, and readying sales materials.
- Facilitate buyer appointments by greeting clients, managing scheduling, taking detailed notes, tracking client requests, and supporting throughout the selling process.
- Assist in dressing models and ensuring professional garment presentation during appointments.
- Handle calendar organization and coordinate travel arrangements for trunk shows and market participation.
- Manage sample logistics through the company ERP system (Infofashion), overseeing check-in/out, pulls, packing, shipping, receiving, and inventory tracking.
- Maintain organized storage with clear inventory records and coordinate shipments for market events, press, photoshoots, clients, and warehouse operations.
- Support wholesale sales administration by entering orders, updating purchase orders, processing reorders, and maintaining system accuracy in collaboration with the sales team.
- Prepare and update sales tools such as line sheets, image decks, lookbooks, and order summaries.
- Provide basic customer service to wholesale clients, including follow-ups, handling requests, and liaising with internal departments.
- Assist with digital wholesale platforms like NuOrder when necessary.
- Keep detailed Excel spreadsheets for orders, sample tracking, and sales, ensuring data integrity across documents.
- Help organize showroom events, trunk shows, presentations, sample photoshoots, and other special brand initiatives.
Candidate Requirements
- Between 1 to 3 years of experience in fashion showrooms, wholesale sales support, luxury retail, or comparable fields.
- Proficient in Microsoft Office applications, particularly Excel and PowerPoint.
- Exceptional organizational skills, precise attention to detail, and dependable follow-through.
- Professional and effective communicator comfortable engaging with buyers and team members.
- Energetic and hands-on approach, including garment steaming, sample handling, and logistical coordination.
- Ability to multitask and maintain composure during high-pressure market periods.
- A genuine interest in luxury menswear and wholesale business operations is highly desirable.
Work Environment and Schedule
- This is a full-time, on-site position located in the SoHo showroom in New York City.
- Working extended hours is required during market weeks.
Compensation and Benefits
- Annual salary range is $60,000 to $70,000.
- A performance bonus of 10% is included.
