Role Summary

The Senior Payroll Specialist will manage a wide range of payroll operations, including payroll execution and employment tax reporting, with a strong focus on accuracy, compliance, and efficient delivery. This is a remote position based in the United States and reports to the Payroll Manager.

Key Responsibilities

  • Run accurate and timely payroll for weekly and biweekly cycles, including off-cycle payments, bonuses, severance payments, and payroll corrections.
  • Review, audit, and reconcile payroll data to maintain integrity, accuracy, and compliance.
  • Oversee payroll operations from end to end, identify issues early, escalate when needed, and help with quarter-end and year-end close activities.
  • Support employment tax compliance work such as tax registrations, jurisdiction setup, filings, reconciliations, and resolution of tax notices.
  • Investigate federal, multi-state, and local payroll tax matters while ensuring compliance with wage and hour regulations, withholding rules, garnishments, and filing deadlines.
  • Keep up to date with U.S. and Canadian payroll laws and confirm that system settings and internal procedures remain compliant.
  • Handle payroll questions through Zendesk promptly, accurately, and professionally.
  • Guide and support the Payroll Coordinator and collaborate with internal teams and external vendors to deliver payroll services effectively.
  • Spot opportunities to improve payroll controls, processes, and efficiency, and help implement and evaluate those improvements.

First 30/60/90 Day Expectations

  • By day 30, build working knowledge of the company’s payroll tools and workflows, including SAP HCM, Salesforce, Zendesk, and ADP Smart Compliance.
  • By day 60, independently support payroll processing while maintaining compliance with employment tax obligations and regulatory requirements.
  • By day 90, establish a reliable audit rhythm to verify payroll accuracy, data integrity, and reconciliation of ADP billing statements.

Required Experience and Qualifications

  • At least 5 years of payroll processing experience, preferably in a multi-state environment.
  • Practical knowledge of employment tax withholding, garnishments, and labor law compliance.
  • Strong attention to detail and a consistent focus on accuracy.
  • Solid research, analytical, and problem-solving capabilities.
  • Working knowledge of Microsoft Office, including Excel, Word, and PowerPoint.
  • Bachelor’s degree or equivalent professional experience.
  • Experience with SAP HCM and ADP payroll processing is strongly preferred.
  • Payroll certification such as CPP or FPC is considered an advantage.
