About The Role

Cityblock Health is seeking a detail-oriented and customer-service focused Senior Executive Assistant to manage logistics, scheduling, and calendar coordination for executive leadership team members and their direct reports. This role is crucial for providing high-level administrative support, strategic calendar management, and driving ad-hoc initiatives to optimize executive efficiency. Success in this position requires excellent communication, proactive thinking, absolute discretion, and a keen understanding of people and situations. The ideal candidate will be adept at "managing the executive" by identifying areas for improvement, rapidly building relationships with internal and external stakeholders, and possessing a deep understanding of the company's business model, corporate strategy, and operational plans.

Responsibilities

  • Strategic Calendar & Time Management: Proactively manage complex calendars, anticipate and resolve scheduling conflicts swiftly, and exercise strong judgment in making micro-decisions.
  • Executive & Board Support: Coordinate, develop, and manage materials for critical executive team meetings, Board of Directors sessions, and leadership offsites.
  • Strategic Alignment: Develop a thorough understanding of the corporate strategy and business model to confidently engage in key meetings, capture detailed notes, and ensure effective follow-through on action items.
  • Project Management & Support: Oversee and execute multiple projects concurrently from start to finish, taking full ownership, identifying and addressing gaps, and driving initiatives forward with minimal supervision.
  • Cross-Functional Partnership: Undertake projects on diverse topics, collaborating closely with the Project Management Office (PMO) and other internal teams.
  • Executive Advocacy: Proactively identify process inefficiencies, anticipate potential obstacles, and propose solutions to enhance leadership's daily effectiveness.
  • Communications & Materials: Draft, refine, and organize impactful presentations, reports, and correspondence on behalf of executives.
  • Confidentiality & Compliance: Handle highly sensitive and confidential information with the utmost discretion; manage and facilitate key documents essential for daily operations and contracting.
  • Team Event Logistics: Plan and coordinate all logistical aspects for executive team events, including holiday parties, social gatherings, leadership offsites, and milestone celebrations.
  • Travel & Expenses: Manage all executive travel arrangements, including complex end-to-end logistics for air travel, ground transportation, and accommodations, as well as expense reconciliation.
  • Team Scaling: Assist with the interviewing, hiring, and onboarding processes for new executive team members.

Requirements

  • Possess a Bachelor’s Degree or equivalent professional experience in a relevant corporate setting.
  • Core Experience: Minimum of 6 years of experience as a Senior Executive Assistant, Project Manager, or in a comparable strategic administrative role supporting C-Suite executives in a corporate environment.
  • Board & Governance Exposure: Demonstrated experience in preparing materials for and interacting with a Board of Directors, investors, or other high-profile external stakeholders.
  • Project Management Skills: Strong background in managing cross-functional projects, with a proven ability to lead initiatives from conception to completion with minimal guidance.
  • Business Acumen: Proven ability to quickly comprehend complex business models, corporate structures, and strategic objectives.
  • Tools & Technology: Expert proficiency in G Suite (Gmail, Docs, Sheets, Slides, Calendar), Slack, and modern project management tools (e.g., Asana, Jira, Monday.com). Familiarity with executive workflow systems like Workday or corporate ATS platforms is advantageous.
  • Communication & Presence: Exceptional verbal and written communication abilities, coupled with the professional demeanor necessary for effective interaction with senior leaders, clients, and partners.
  • Discretion & Trust: Unwavering integrity and a demonstrated capacity for managing highly sensitive and confidential corporate information.
