Role Overview

The Senior Administrative Assistant will provide high-level administrative support to the Head of Research, TGI, and the wider department. This position requires strong coordination ability, sound judgment, professionalism, and the capacity to manage multiple priorities efficiently.

Key Responsibilities

  • Deliver dependable administrative support to the Head of Research, TGI, and the broader team while maintaining a professional approach.
  • Handle calendar management from end to end, including meeting scheduling, prioritization, and coordination across internal and external participants.
  • Prepare meeting packs and supporting materials by gathering, downloading, formatting, and organizing documents and presentations in advance.
  • Keep contact records current, including information related to corporates, brokers, and vendors, so that details remain accurate and easy to access.
  • Manage phone calls and email communication promptly and professionally while serving as a point of contact for internal and external stakeholders.
  • Arrange visitor logistics and meeting support to ensure a smooth and polished experience.
  • Track incoming and outgoing courier deliveries and mail distribution, maintaining proper records throughout.
  • Monitor access and attendance logs for external vendors and service providers, including maintenance and facilities personnel.
  • Maintain organized administrative documentation such as correspondence, schedules, vendor details, and employee records.
  • Coordinate with building management on maintenance matters and shared-area issues, and communicate relevant updates or disruptions to employees.
  • Process invoices, expense items, and related administrative paperwork accurately and within required timelines.
  • Support onboarding arrangements for new employees, including coordination with IT and HR for workspace preparation, system access, and induction setup.
  • Coordinate business travel end to end for the TGI department.
  • Plan office events and meetings, including logistics, vendor coordination, and other administrative requirements.

Requirements

  • Prior experience in administration, travel coordination, and event planning.
  • Comfort using Microsoft Office tools and administrative systems.
  • Strong organizational ability, clear communication, and close attention to detail.
  • Good judgment, discretion, and confidence in working with different stakeholders.
  • A proactive, adaptable, and solutions-oriented mindset.
