Job Overview

This role offers vital coordination and administrative support to a senior leader, managing a wide array of responsibilities essential to ensuring seamless office and executive operations.

Key Responsibilities

  • Manage and optimize a complex calendar spanning multiple business units, prioritizing meetings based on strategic and business needs.
  • Coordinate various internal and external meetings including leadership reviews, customer interactions, board and governance sessions, and employee engagements.
  • Prepare meeting materials such as agendas and briefs, document action items, and ensure follow-through with relevant stakeholders.
  • Handle filtering and prioritizing of emails, phone calls, and meeting requests directed to the leader.
  • Draft and review corporate correspondence, internal announcements and communications related to business, leadership, and customers.
  • Organize all aspects of domestic and international travel including bookings, itineraries, visa requirements, and logistics.
  • Serve as the contact point coordinating between business heads, customers, corporate functions, and leadership teams across various locations.
  • Manage approval processes, document circulation, and uphold confidentiality of sensitive materials related to HR, finances, strategy, and organizational matters.
  • Maintain systematic physical and digital record-keeping and oversee office resource coordination to facilitate smooth operational flow.
  • Assist in employee engagement initiatives and leadership communication efforts, organizing interactions such as roundtables.
  • Coordinate protocol and logistics for senior visitors including customers, government officials, and partners.
  • Provide anticipatory strategic support by preparing briefing notes and maintaining awareness of business priorities, serving as a trusted advisor.

Additional Information

The incumbent will be expected to ensure all activities supporting the leader and office operate effectively both from an operational and administrative perspective, guaranteeing confidentiality and compliance with company policies at all times.
