About the Role

This is a full-time, on-site position in Dubai for a Sales Coordinator. The role centers on assisting the sales team with everyday order handling, quotation preparation, and customer follow-up to ensure requests are completed accurately and on time. It also includes keeping customer information current, producing sales reports, monitoring promotions, and working with internal teams such as logistics, purchasing, and finance to resolve issues. In addition, the coordinator supports pricing updates, product listings, and sample coordination, while keeping track of inventory availability and informing both the sales team and customers about any changes. The role also covers routine customer support, escalation of more complex matters when needed, and ongoing contribution to better sales workflows and customer experience.

Responsibilities

  • Track pending and standing orders and follow up until they are resolved.
  • Prepare accurate daily reports or other reports requested by the line manager to support the sales function.
  • Issue quotations to customers when the salesperson is unavailable, following guidance from the relevant salesperson where needed.
  • Monitor and chase short deliveries.
  • Manage follow-up on stock shortages and coordinate with the relevant salesperson.
  • Update customers on upcoming deliveries, possible substitute products, or promotional offers based on salesperson instructions.
  • Arrange sales meetings whenever required.
  • Maintain compliance with HACCP and ISO procedures at all times.
  • Attend meetings and training sessions as directed.
  • Assist in preparing documents required for export-related transactions.
  • Carry out additional duties assigned by the Line Manager.

Qualifications

A college or university diploma is preferred, or a minimum of 3 to 4 years of relevant experience and/or training. An equivalent mix of education and practical experience is also acceptable.

Required Skills

  • Comfortable using common office software, especially Microsoft Word and Excel.
  • Able to stay effective under pressure while managing several tasks at once.
  • Strong administrative, coordination, and organizational ability.
  • Good telephone manner and strong interpersonal communication skills.
  • Flexible and willing to take on tasks beyond the core job scope when needed.
  • Familiar with standard office machines and equipment.

Additional Information

This position requires strict adherence to HACCP and ISO procedures. The role may also involve attending training sessions and helping with export documentation as required.
