Overview

The Residential Property Manager will oversee daily operations, financial health, and resident satisfaction across an expanding portfolio of multi-family residential properties. This person leads on-site teams to ensure properties are well-maintained, compliant with regulations, and running efficiently while cultivating positive relationships with residents, vendors, and internal partners. As the company grows, the role also involves managing the integration and ongoing operation of two newly developed residential communities.

Key Duties

  • Manage daily functions of a growing residential property portfolio to maintain safe, clean, and professionally run communities.
  • Provide outstanding resident service by promptly and professionally addressing inquiries, concerns, and service requests.
  • Support leasing tasks including move-ins, lease renewals, and occupancy strategies alongside on-site personnel.
  • Build and maintain strong resident relationships to boost satisfaction, retention, and community spirit.
  • Conduct routine property inspections to ensure cleanliness, safety, curb appeal, and overall upkeep.
  • Administer parking operations and support general building management.
  • Lead the operational transition of newly completed residential properties from construction completion to full occupancy.
  • Collaborate closely with construction and development teams to identify and fix deficiencies while minimizing disruption to residents.
  • Set up operational protocols and building standards for long-term success.
  • Negotiate and manage key service contracts such as landscaping, waste, pest control, snow removal, and security.
  • Navigate operational challenges in active construction environments while ensuring resident safety and positive experience.
  • Assist in creating and managing annual operating budgets.
  • Monitor financial performance and expenses to optimize efficiency and cost control.
  • Review and approve invoices within authorized limits.
  • Support revenue, occupancy, and resident retention goals across the portfolio.
  • Provide leadership and mentoring to on-site teams encouraging a collaborative and service-focused culture.
  • Maintain effective relationships with contractors, vendors, and service providers to ensure quality, timeliness, and budget compliance.
  • Ensure compliance with Residential Tenancies Act, Occupational Health and Safety requirements, and other relevant regulations.
  • Maintain thorough documentation, including leases, inspections, vendor agreements, and operational records.
  • Identify risks and implement proactive measures to safeguard residents, employees, and company assets.
  • Participate in rotating on-call emergency response for urgent property matters.
  • Seek continual operational improvements enhancing efficiency, resident experience, and portfolio outcomes.
  • Stay informed about industry trends, legislative changes, and best practices in residential property management.
  • Prepare operational and financial reports providing insights and recommendations to senior leaders.
  • Engage in cross-departmental initiatives supporting organizational growth.

Qualifications

  • A minimum of 3 to 5 years in residential property management, preferably within multi-unit residential communities.
  • Experience managing newly built or lease-up communities is a valuable advantage.
  • Demonstrated leadership and team development capabilities.
  • Strong expertise in property operations, maintenance coordination, budgeting, and vendor management.
  • Good understanding of Ontario's Residential Tenancies Act and related legislation.
  • Exceptional communication, relationship-building, and conflict resolution skills.
  • Strong organizational skills with the capacity to juggle multiple priorities in a dynamic setting.
  • Familiarity with Yardi or similar property management software.
  • Valid Ontario driver's license with dependable transportation.
  • Willingness and ability to travel frequently among company properties; role is based in Kitchener with extensive travel to Owen Sound required during initial lease-up periods.
