Role overview
We are looking for a reliable and detail-oriented Remote File Clerk to keep company records organized and databases consistently updated. The role involves gathering information from internal teams and customers, then entering it accurately and on time into the appropriate systems.
Core duties
- Collect files from shared inboxes, portals, internal ticketing platforms, and cloud-based folders.
- Verify the document type, required fields, signatures, and attachments before processing.
- Tag and index records with standard metadata such as client or project ID, date, document category, version, and region.
- Use approved naming rules and folder structures to keep documents organized.
- Convert files when needed, including merging or splitting PDFs, turning images into PDFs, compressing files, and applying version labels.
- Manage controlled document libraries, separating final, draft, and archived files while applying retention tags.
- Carry out daily quality checks to identify duplicates, misplaced files, missing pages, and unreadable scans.
- Escalate exceptions to the correct person and add clear notes for follow-up.
- Maintain error tracking logs and support improvements that help reduce repeated rework.
- Protect sensitive records by following access restrictions and confidentiality standards.
- Comply with retention timelines, legal hold directions, and deletion or archiving requirements.
- Assist audits by retrieving records quickly and recording chain-of-custody steps.
- Work with HR, Finance, Operations, Legal, and Customer teams to confirm file requirements.
- Share updates on backlog volume, turnaround times, and issues discovered during processing.
Tools and working methods
You may work with cloud storage platforms such as Google Drive, SharePoint, or Dropbox, document tools like Adobe Acrobat or similar software, spreadsheets, ticketing systems such as Jira, Asana, or ServiceNow, e-signature tools, and standard office productivity applications.
Performance measures
- Accuracy of filing and metadata entry
- Time taken from receipt to final filing
- Backlog size and daily output
- Speed and completeness of audit retrievals
- Compliance with access control and retention tagging rules
Qualifications
Prior exposure to records management, administrative support, clerical work, or document control is preferred. The ideal candidate should be highly organized, comfortable following strict filing rules, and confident handling confidential information. Basic computer literacy is required, including familiarity with file systems, spreadsheets, PDFs, and collaboration tools.
