Role Overview

We are looking for a meticulous Remote Documentation Specialist who values accuracy, structure, and consistency. This position focuses on preparing, reviewing, organizing, and maintaining documents so information remains clear, reliable, and easy to retrieve across the organization. The role is fully remote and supports better operational efficiency through disciplined document handling and information management.

Key Responsibilities

  • Collect documents from shared inboxes, portals, ticketing tools, and cloud-based systems.
  • Check each file for completeness, required approvals, supporting attachments, and all necessary fields.
  • Add standardized metadata such as project IDs, document type, dates, and version information.
  • Make sure documents are indexed properly so they can be searched and retrieved quickly.
  • Apply consistent file names and folder structures across documentation repositories.
  • Reformat and standardize documents according to internal documentation rules.
  • Handle file transformations when needed, including PDF formatting, merging or splitting files, compression, and version updates.
  • Maintain organized document libraries with clear labels for drafts, final versions, and archived records.
  • Review documents regularly for formatting inconsistencies, missing details, duplicates, and other errors.
  • Identify discrepancies and route them to the right stakeholders with clear notes and follow-up details.
  • Keep records of documentation issues and help improve document processing workflows.
  • Ensure all files meet internal quality, formatting, and accuracy standards.
  • Work with sensitive records while following strict confidentiality and access-control practices.
  • Follow retention schedules, version-control procedures, and archiving requirements.
  • Support audits by locating documents quickly and preserving version history.
  • Ensure documentation practices comply with internal policies and applicable regulatory standards.
  • Coordinate with HR, Operations, Legal, Finance, and Customer Support teams to clarify document needs.
  • Share updates on document status, pending work, and expected turnaround times.
  • Communicate clearly when information is missing, revisions are needed, or updates must be made.
  • Help teams work efficiently by keeping documentation systems accessible and well maintained.

Tools and Work Environment

  • Cloud storage tools such as Google Drive, SharePoint, and Dropbox.
  • Document creation and editing software including Microsoft Office, Google Workspace, and Adobe Acrobat.
  • Spreadsheets used for tracking and indexing records.
  • E-signature and document approval platforms.

Qualifications

  • Prior experience in documentation management, administrative support, records handling, or a similar field is preferred.
  • High attention to detail and the ability to follow formatting and documentation standards.
  • Comfort handling confidential information professionally.
  • Basic computer skills, including document editing tools, spreadsheets, and file management systems.
  • Ability to work independently in a remote setting while staying organized and accurate.
