Role overview
The Registration Senior Specialist will support the Registrar’s Office by ensuring student registration services are delivered with strong attention to detail, a high standard of customer care, and smooth day-to-day execution of registration-related activities.
Key responsibilities
- Partner with the Assistant Registrar to organize and manage daily Registrar’s Office operations.
- Prepare and circulate the registration timetable and keep the annual registration calendar current.
- Handle assigned registration workstreams, ensuring student information is entered accurately and student records are continuously updated.
- Set up and maintain student enrolment files in both digital and physical formats, and support the upkeep of admissions records.
- Keep student records updated for enrolment-related changes such as course additions and drops, major changes, grade appeals, withdrawals, inter-campus transfers, policy exceptions, and graduation certification.
- Advise students on course registration rules, prerequisites, and academic regulations.
- Support the preparation and release of official academic documents, including transcripts and diplomas.
- Compile statistics and maintain student enrolment databases to support management review, policy evaluation, and decision-making.
- Coordinate examination scheduling, exam material copying, room allocation, seating plans, and exam room setup.
- Track the collection, posting, and distribution of course grades, and prepare grade-distribution summaries together with standard, ad hoc, operational, and official reports.
- Verify and process transfer credits and support graduation checks to confirm that students meet all degree requirements.
- Monitor compliance with the student attendance policy, including weekly reporting and notices for attendance violations.
- Prepare standard and ad hoc reports for operational and official use.
- Represent the Registration Office in interdepartmental meetings and projects relevant to assigned duties.
- Help develop and implement policies and procedures related to student administration.
- Follow the university’s information security and confidentiality requirements, and escalate any breaches or risks.
- Work with other departments whenever needed to complete tasks and responsibilities effectively.
- Maintain a strong focus on workplace safety and health.
- Carry out additional duties assigned by the Line Manager.
Requirements
- A bachelor’s degree in Higher Education Administration or a closely related discipline.
- At least 7 years of relevant professional experience.
- Flexibility, initiative, and readiness to take on extra responsibilities.
- Strong relationship-building ability and a collaborative, team-oriented approach.
