Job Overview

The Records Clerk is tasked with handling and maintaining shipping and manifest documentation through tasks such as data entry, quality assurance, retrieval, and filing. This role ensures record accuracy and easy accessibility to support organizational operations.

Key Responsibilities

  • Download PDF documents from official government websites and check for image clarity and quality.
  • Enter data accurately and conduct quality reviews before submitting records.
  • Log and monitor files using electronic systems effectively.
  • Use information systems to research and find necessary files.
  • Organize, describe, and appropriately label various record materials.
  • Maintain electronic and physical filing systems by interfiling documents correctly.
  • Retrieve requested files and handle processing efficiently.
  • Preserve file integrity by removing duplicate records and replacing damaged folders.
  • Prepare files for transfer or retirement, which includes labeling and proper boxing.
  • Conduct shelf-reading tasks and perform quality control inventories.
  • Investigate and resolve discrepancies found in manifests through thorough research and communication.
  • Carry out additional duties as assigned.

Qualifications and Requirements

  • Possession of a high school diploma or equivalent GED.
  • A minimum of six months of experience working with computer terminals, scanners, and electronic document management systems.
  • Valid driver’s license or temporary license is required.
  • Ability to successfully pass background and drug screening checks.
  • Working knowledge of filing procedures and records management policies.
  • Typing proficiency and knowledge of sequencing techniques.
  • Capability to work both independently and collaboratively with government personnel.
  • Strong English communication skills, both verbal and written.
  • Ability to remain calm during multiple crises and prioritize tasks effectively.
