About the Role
The Florey is hiring a polished, calm, and service-oriented Receptionist to join its Melbourne Brain Centre team in Heidelberg. This role sits within a combined health and research setting that supports advanced clinical research programs run by The Florey and its partners. As the first person visitors meet, you will help create a welcoming front-of-house experience for researchers, participants, patients, and staff while also assisting with administration and facilities coordination.
Role Details
- Full-time, fixed-term engagement for 12 months.
- Location: Melbourne Brain Centre, Heidelberg, Victoria.
- Annual full-time equivalent salary range: $75,139 to $86,313.
- Includes superannuation up to 17% and access to salary packaging.
Key Responsibilities
This position combines reception, administrative support, and basic facilities coordination across a busy health and research environment.
Front Desk and Reception
- Welcome visitors from clinical, radiology, and research areas and direct them as needed.
- Handle enquiries received by phone, email, and in person in a professional manner.
- Manage visitor sign-in processes and resolve any issues with the system.
- Arrange delivery, courier, and internal mail distribution activities.
- Keep reception resources, directories, and communication materials current and well organised.
- Assist with clinic room reservations, parking access, and general front-desk questions.
- Provide broader administrative assistance across the organisation when required.
Facilities Support
- Help maintain clinical spaces and support day-to-day building upkeep, including liaison with contractors.
- Coordinate inventory checks and support asset maintenance or calibration activities.
- Assist with mail, couriers, and deliveries.
- Support building access requests.
- Help with workspace setup, audits, and upkeep of shared areas.
Operational and Safety Support
- Assist with building notices and operational communications.
- Provide support during emergencies, including evacuation procedures if required.
- Follow occupational health and safety requirements and help maintain a safe workplace.
About You
You will be well suited to this position if you bring strong reception skills, a professional manner, and the ability to stay organised in a varied environment.
Essential Experience and Capabilities
- Previous experience in a receptionist or customer-facing role.
- Strong focus on service and clear, professional communication.
- Confidence using Microsoft Office and adapting to new systems.
- Well-developed organisational ability and comfort managing competing priorities.
- Capacity to work independently and use initiative.
Desirable Experience
- Background in healthcare, research, or medical settings, especially in patient-facing, clinical administration, or radiology administration roles.
- Exposure to switchboard systems.
- Experience with visitor management, booking, or clinical administration platforms.
