Job description

About the role

Merck Life Science is looking for a Quote Management Specialist to join the Quotes & Tenders team in Modderfontein. The role focuses on delivering a reliable customer experience by creating precise, policy-compliant quotations, keeping special pricing and freight terms updated in the CRM, and supporting tender activity when needed. The position works closely with Sales and other internal teams, with room to contribute to process improvements and support colleagues across different markets.

Key responsibilities

  • Draft, check, and release accurate quotes and tenders in CRM and/or ERP tools within expected timelines.
  • Serve as a main contact for customers and the Sales team for quote-related questions and requests.
  • Make sure quotations follow pricing rules, commercial standards, internal procedures, service expectations, and Merck policies.
  • Update special pricing and negotiated freight terms in the CRM system.
  • Look into and help fix pricing, freight, and other quotation mismatches together with Sales, Pricing, Customer Service, and other stakeholders.
  • Spot operational problems, raise risks early, and support quick resolution of quotation issues.
  • Take part in improvement initiatives and process-focused projects to improve speed and effectiveness.
  • Share expertise, guide colleagues on processes and tools, and assist with onboarding and development of new team members.
  • Support and coach junior team members on quote-related matters when required.
  • Handle administrative and legal paperwork needed for quotations to public and private customers, ensuring compliance with laws, regulations, and company policies.

What you should bring

  • Prior experience in a customer-facing role, preferably in an international and multicultural environment.
  • A strong customer service mindset with the flexibility to adjust to changing business priorities.
  • Good administrative and planning skills, including the ability to juggle several tasks at once.
  • High attention to detail and a strong focus on accuracy.
  • Comfort using business systems and Excel, with confidence working with data.
  • Strong spoken and written English; another European language would be an advantage.
  • Ability to build positive relationships with customers, colleagues, managers, and other stakeholders.
  • Comfort working across teams and cultures in a collaborative environment.
  • Openness to change and a practical, solutions-based approach.
  • Professional conduct and teamwork aligned with company values.
