Job description
Role overview
This position is for a highly organized and detail-focused lease administration professional to support the leasing function. The role centers on handling lease records, coordinating tenant communication, and making sure lease terms and compliance requirements are managed accurately and on time.
Key responsibilities
- Handle day-to-day administrative support for the leasing team.
- Keep the leasing and marketing databases up to date.
- Draft lease paperwork and related documents, monitor lease progress, and maintain tenancy records accurately.
- Coordinate with tenants, lawyers, IRAS, HDB, JTC and other relevant parties on lease matters.
- Assist with meetings and prepare weekly and monthly reports.
- Work closely with the leasing team and other departments to ensure tenancy documents are completed and returned on schedule.
- Track lease expiry dates and identify renewal opportunities.
- Support new tenant onboarding by ensuring all required documents are completed and submitted.
- Follow up on financial matters such as lease payments and security deposit refunds.
- Record and reconcile audited sales reports and GTO billing when needed.
- Take on additional duties as assigned.
Requirements
- A diploma in Building Estate Management, Business Administration, or an equivalent qualification is preferred.
- At least 2 years of relevant experience is preferred.
- Comfortable using Microsoft Office applications.
- Strong written and verbal communication skills.
- Careful, dependable, self-driven, and able to work well in a team.
- Independent with a proactive approach.
- Able to perform under pressure and manage challenging situations.
- Solid understanding of the real estate sector.
