Job description
Role Overview
This position is for a detail-focused lease administration professional who will help manage leasing operations, documentation, tenant coordination, and compliance-related follow-up. The role supports the leasing team through accurate record keeping, communication with stakeholders, and timely handling of lease processes.
Key Duties
- Provide day-to-day administrative assistance to the leasing team.
- Maintain and update leasing and marketing databases.
- Prepare lease paperwork and related documents, while tracking lease progress and keeping tenancy records current.
- Coordinate with tenants, lawyers, IRAS, HDB, JTC, and other relevant parties on lease matters.
- Support meetings and help compile weekly and monthly reports.
- Work closely with the leasing team and other departments to ensure tenancy documents are completed and returned on time.
- Track upcoming lease expirations and possible renewal opportunities.
- Assist with new tenant onboarding, including completion and submission of required documents.
- Monitor follow-up actions for lease payments, security deposit refunds, and other financial transactions.
- Record and reconcile audited sales reports and GTO billing where necessary.
- Handle any other responsibilities assigned by the company.
Requirements
- Diploma in Building Estate Management, Business Administration, or an equivalent qualification, preferably with at least 2 years of relevant experience.
- Good working knowledge of Microsoft Office applications.
- Strong verbal and written communication abilities.
- Careful, dependable, proactive, and able to work well both independently and as part of a team.
- Comfortable working under pressure and meeting deadlines in a fast-paced environment.
- Working knowledge of the real estate industry is an advantage.
