Position Summary
The Project Manager is a vital role within Artists Equity's Brand Studio, responsible for ensuring the efficient delivery of high-quality work by coordinating the right resources. This role involves overseeing project timelines and milestones, managing assignment progress, handling communications, and implementing project controls. A key responsibility is the development and maintenance of comprehensive project plans, including deliverables, tasks, dependencies, staff allocation, and internal processes. The Project Manager will also assess project risks and communicate contingency plans to stakeholders. This position reports to the Director of Brand Operations.
Essential Functions
- Gather, analyze, and manage project requirements for advertising, branding, and marketing initiatives.
- Lead and manage projects from initiation to completion, establishing timelines, project plans, budgets, deliverable schedules, and workflow systems.
- Ensure projects are delivered on time, within scope, and meet client expectations, AE objectives, and creative standards.
- Maintain a consistent in-office presence and actively participate in all required meetings.
- Coordinate and schedule internal meetings, managing attendees, calendars, and agendas.
- Facilitate meetings and status calls, ensuring discussions remain focused, productive, and within allocated time.
- Document detailed meeting notes, action items, and next steps, distributing timely recaps to teams and stakeholders.
- Facilitate cross-functional communication among creative, production, strategy, media, account, and leadership teams for seamless project execution.
- Cultivate and maintain strong working relationships with internal teams, leadership, clients, vendors, and external partners.
- Collaborate with stakeholders to develop communication plans and ensure effective information dissemination.
- Manage multiple projects concurrently, prioritizing competing deadlines and adapting to shifting business needs in a fast-paced environment.
- Create and maintain master project calendars, agendas, and workflow trackers for visibility and accountability.
- Develop and maintain organized workflow systems to support high-volume project management and evolving priorities.
- Proactively identify and escalate project risks, bottlenecks, resource constraints, or timeline concerns to keep projects on track.
- Partner with department leads to develop and maintain standardized templates, briefs, client decks, presentations, and internal documentation.
- Oversee the organization and maintenance of shared file systems, including Box, Google Drive, uploads, archival systems, and project documentation.
- Collaborate with Production and Creative teams to establish and track creative development timelines, deliverables, and approvals.
- Follow up with creative leadership and internal teams to ensure deadlines, approvals, revisions, and project expectations are met.
- Ensure appropriate stakeholders, decision-makers, and team members are involved in meetings, communications, and project approvals.
- Evaluate and enhance project management workflows, communication systems, and operational processes for increased efficiency and productivity.
- Analyze project and communication performance metrics, providing reports, insights, and recommendations for process improvements.
- Prepare presentations, project updates, meeting materials, reports, and supporting documentation for internal and client-facing meetings.
- Support operations, special initiatives, and additional duties as assigned.
Additional Information
This role requires an in-office presence in West Hollywood, CA, and is intended for local candidates. Experience in the Quick Service Restaurant (QSR) industry is considered a significant advantage.
