Role Overview
As a Project Coordinator, you will play a pivotal leadership role in steering complex campaigns, production tasks, and influencer marketing initiatives to successful completion. Your responsibilities include ensuring projects are delivered punctually, within budget, and to outstanding standards. This role requires orchestrating multiple projects at once, synchronizing internal teams, contractors, and vendors to guarantee flawless execution from initial briefing through final delivery.
Core Responsibilities
- Lead projects from initiation through to completion, maintaining detailed timelines and schedules.
- Organize project kick-offs and manage workflows internally.
- Oversee project milestones, deliverables, and proactively identify and mitigate risks to keep campaigns on schedule and budget.
- Coordinate internal team workloads, allocate tasks across Production and Client Services departments, and forecast resource needs.
- Manage production schedules and logistics in tandem with the Production Coordinator.
- Handle relationships with external suppliers and specialist partners to ensure projects remain adequately resourced.
- Build and maintain strong connections with international contractors and freelancers, managing cross-time-zone teams, onboarding, briefing, monitoring quality and delivery schedules.
- Direct complex influencer campaigns, including influencer sourcing, talent selection, negotiations, contracting, creator communications, and campaign logistics to ensure briefs and budgets are met.
- Manage project budgets and profitability, monitor actual hours versus estimates, identify over-servicing, and raise change orders when necessary.
- Support invoicing accuracy and protect agency financial performance across all projects.
- Drive enhancements to project management systems and workflows, nurture scalable operational processes, maintain documentation, and contribute to continuous improvement initiatives.
Desired Qualifications and Experience
- Minimum of five years’ experience in project management within marketing, creative, production, or agency settings.
- Proven track record managing intricate marketing or production campaigns and influencer marketing projects.
- Strong expertise in handling large budgets and commercially focused assignments.
- Experience managing multiple stakeholders, suppliers, contractors, and international teams.
- Excellent communication abilities and stakeholder management skills.
- Sound commercial insight combined with financial literacy.
- Keen attention to detail, calmness under pressure, proactive problem-solving aptitude, and a collaborative mindset.
