About the Role

As a Project Coordinator at Takeda, you will oversee the organization and management of resources to meet project goals related to scope, timing, quality, and budgeting constraints. This position plays a vital role in project coordination and upholds established standards, ensuring successful project completion.

Role Summary

This position merges project coordination with business operations and team assistance within the R&D and Global Medical Digital, Data & Technology (RDGM-DDT) divisions. You will manage project schedules, coordinate meetings and related logistics, track milestones and action items, and support interdisciplinary efforts. Additionally, the role involves business operations tasks such as facilitating training and onboarding, maintaining SharePoint and Microsoft Teams sites, and driving process enhancements.

A considerable part of the role involves organizing and running on-site meetings and events, including overseeing room setup, catering, visitor access, AV requirements, and acting as the primary on-site contact to provide a smooth experience. Collaborating with internal stakeholders to improve operational procedures, promote employee engagement, and deliver projects efficiently is also essential.

Key Responsibilities

  • Manage project timelines, milestones, action items, and documentation.
  • Assist with cross-functional business initiatives and culture development.
  • Plan and coordinate logistics for on-site meetings and events.
  • Organize employee onboarding sessions and training programs.
  • Maintain SharePoint and Microsoft Teams sites along with organizational resources and distribution lists.
  • Contribute to process improvements and operational excellence projects.
  • Partner with stakeholders to facilitate communication and project performance.

Experience and Qualifications

  • Bachelor's degree or an equivalent combination of education and relevant experience.
  • Proven background in administrative support, project coordination, business operations, or a similar role with project management exposure.
  • Experience managing projects, tracking schedules, handling multiple priorities, and supporting cross-functional teams.
  • Familiarity with pharmaceutical, biotechnology, healthcare, technology, or other regulated industries is advantageous.
  • Understanding of project coordination, business processes, and workflow management.
  • Experience using SharePoint, Microsoft Teams, or comparable collaboration platforms is preferred.

Skills

  • Excellent organizational and project coordination capabilities, with strong attention to detail.
  • Ability to juggle multiple priorities and adapt to evolving business requirements while meeting deadlines.
  • Effective problem-solving and analytical thinking skills.
  • Strong written and oral communication skills effective across teams and organizational ranks.
  • Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and collaboration tools like SharePoint and Microsoft Teams.
  • Comfortable working independently and collaboratively in cross-functional environments.
  • Experience organizing meetings, events, logistics, and supporting operational activities.
  • Capable of managing sensitive information with professionalism and confidentiality.
  • Support process improvement efforts, team collaboration, and operational excellence initiatives.

Compensation

The salary range for this position in Washington (virtual) is $58,400 to $91,740 annually. Takeda is committed to fair and transparent compensation practices supporting equitable pay for all employees.
