Job description

Role overview

The Project Coordinator I supports the planning and delivery of basic to moderately complex projects that sit outside routine departmental work. This role helps shape project plans, keeps work moving across all phases, and makes sure activities stay aligned with the agreed timeline from start to finish.

Key responsibilities

  • Coordinate basic and moderately complex project work while keeping quality, timing, and documentation on track. Basic projects are generally small in scope, affect one or two departments, and involve little or no budget oversight.
  • Create and maintain detailed project schedules, including administrative tasks, and make sure deadlines are met.
  • Organize assigned project tasks and help ensure work is completed as planned.
  • When needed, set up and run project meetings, prepare agendas and materials, and draft or revise meeting minutes, presentations, and tables.
  • Keep thorough records and project documentation, and help establish consistent methods for storing and organizing files. Share project updates and findings as appropriate.
  • Prepare reports and other project deliverables when assigned.
  • Monitor changes to the project and update schedules accordingly.
  • Track deliverables and timelines, alert management to issues, and help implement corrective actions when necessary.
  • Assist with ordering, receipt follow-up, and invoicing as needed.
  • Create test scenarios if required by the role, project, or department.
  • Handle conference travel planning and project-related departmental correspondence when needed.
  • Communicate with outside contractors, vendors, and consultants as required by the project.
  • Carry out other related duties as assigned.

Requirements

  • A bachelor’s degree is required, or an equivalent combination of education and relevant work experience.
  • No experience is strictly required, though 1 year of project coordination experience is preferred.
