Role overview

The Project Coordinator is a senior-level coordination position focused on helping deliver complex utility construction work successfully. The role acts as an important operational bridge between field execution and project controls, with responsibility for documentation management, quality records, and progress monitoring.

This position calls for practical knowledge of construction processes, QA/QC practices, and effective site coordination methods.

Key responsibilities

  • Direct field documentation and coordination systems throughout the full project lifecycle, from mobilization through final close-out.
  • Handle RFIs, submittals, procurement registers, NCRs, and drawing logs.
  • Support mobilization planning and confirm that document packages satisfy both client and internal standards.
  • Maintain QA/QC records, including ITPs, inspection logs, traceability files, and turnover documentation.
  • Partner with QA teams, engineers, and field supervisors to keep documentation aligned with technical and regulatory requirements.
  • Take part in audits, milestone checks, and final documentation closeout activities.
  • Monitor quantities, site progress, and material availability to support schedule tracking and cost forecasting.
  • Work with project controls to make sure execution data is recorded accurately and in real time.
  • Spot coordination gaps, delivery risks, and field execution conflicts, and raise them to project leadership.
  • Ensure that field safety records such as FLRAs, permits, and logs are complete and easy to access.
  • Fold safety documentation into broader project reporting and recordkeeping workflows.
  • Participate in safety reviews and contribute ideas for ongoing improvement.
  • Represent the coordination function in meetings with clients, subcontractors, and EPC partners.
  • Support internal reviews of documentation, workflow design, and process improvement efforts.

Qualifications and experience

  • At least 5 years of experience in coordination or construction support within utility, infrastructure, or industrial construction settings.
  • Solid understanding of QA/QC records, construction workflows, and compliance expectations.
  • Background in supporting field teams with document readiness, change tracking, and execution alignment.
  • Comfortable using Excel and construction systems such as Procore, Primavera P6, SAP, or Viewpoint.
  • Diploma or degree in construction, engineering technology, or project management.
  • PMP or a similar certification is considered an advantage.
  • Strong ability in communication, coordination, and task management.
  • Prepared to work at active project locations or remote sites in a field-facing coordination role.

This is a full-time remote position based in Ontario, Canada.
