Role Overview
The Project Coordinator will support the Project Director and Project Manager in both site-based and office-based tasks. The position involves keeping projects organised, maintaining documentation, coordinating communication across stakeholders, and helping ensure that project information, records, and reporting stay accurate and up to date.
Key Duties
The role includes coordinating day-to-day activities across clients, contractors, consultants, subcontractors, vendors, suppliers, and internal teams. It also involves managing schedules, meetings, conference calls, inboxes, enquiries, and correspondence on behalf of project leadership.
The coordinator will prepare agendas and meeting materials, attend meetings when needed, and track follow-up actions. They will also help create project documents and produce letters, emails, memos, reports, and presentations as required.
In addition, the position requires control of project records such as drawings, specifications, RFIs, submittals, permits, reports, change logs, inspection files, commissioning documents, and closeout packs. The role also supports the maintenance of registers and trackers covering documents, RFIs, submittals, changes, risks, issues, procurement, actions, and closeout.
Health, safety, and compliance administration is also part of the job, including monitoring site access, permits to work, inductions, method statements, risk assessments, safety paperwork, and statutory or project-specific records. The coordinator must also help keep information flowing correctly between design, construction, procurement, commissioning, and client teams so everyone works from the latest approved information.
All records must remain accurate, current, properly organised, and available for review by authorised parties such as the Client, Project Director, Project Manager, consultants, and other relevant stakeholders.
Skills and Experience Needed
Applicants should have experience in the construction industry and be able to organise and prioritise daily and weekly work effectively. Strong attention to detail, good telephone etiquette, teamwork, and confidence using Microsoft Excel, Word, Outlook, and PowerPoint are required. A full driving licence is also needed.
