About the Role

Valard Construction's Transmission division in Calgary, AB is seeking a meticulous Project Administrator to support large electrical infrastructure projects. Reporting to the Director, Transmission Western Canada, this position involves providing comprehensive administrative and documentation assistance throughout project planning, execution, and delivery phases.

Key Responsibilities

  • Organize and maintain project records including permits, drawings, contracts, RFIs, and submittals following established filing and document control procedures.
  • Manage daily on-site administrative activities such as visitor logs, access control, safety sign-ins, and orientation tracking for field personnel and subcontractors.
  • Assist project managers and supervisors by preparing official correspondence, meeting materials, minutes, and action log updates for both internal and client communications.
  • Track subcontractor and vendor invoices, purchase orders, and change orders, ensuring correct coding and timely submission for approvals and payments.
  • Audit timesheets for adherence to cost coding standards.
  • Compile and oversee daily field reports for client submission.
  • Coordinate logistics for crews including accommodations, mobilization/demobilization schedules, and per diem management.
  • Support project closeout including assembling as-built documents, warranty information, inspection reports, and turnover packages for the asset management or owner teams.
  • Oversee office trailer operations at laydown yards.

Candidate Requirements

  • Post-secondary education relevant to the position.
  • A minimum of 3 years in project administration or coordination roles, preferably within the construction sector.
  • Proficient in Microsoft Office Suite (Excel, Word) and Adobe.
  • Experienced with document control systems and project filing methodologies.
  • Preferably experienced supporting electrical infrastructure projects.
