Role overview
The Project Administrator for Construction supports field and office teams with the administrative and operational work needed to keep projects organized, accurately documented, and ready for closeout. The position focuses on maintaining clean records, validating billing inputs, and helping teams move projects from start to finish without gaps in documentation.
What you will do
- Assemble, sort, and maintain complete as-built packages that follow company and client expectations.
- Gather and check project records such as maps, production reports, and other supporting documents.
- Make sure all required closeout paperwork is accurate, complete, and delivered on schedule.
- Review production information, including maps and field reports, against billing submissions to spot mismatches.
- Serve as a quality checkpoint between Construction and Finance.
- Detect possible underbilling or overbilling situations and share them with Construction Coordinators.
- Help reconcile production codes so client invoices are correct.
- Update tracking tools, spreadsheets, and Smartsheet records with current project status.
- Watch project progress and keep data aligned across systems.
- Create reports that give leadership visibility into production and completion status.
- Provide hands-on administrative support to Construction Coordinators and Project Managers.
- Work with Finance, field crews, and vendors to obtain needed information.
- Communicate project documentation and status updates clearly to internal and external stakeholders.
- Look for ways to improve documentation, tracking, and reporting methods.
- Support the rollout of standardized workflows and tools.
- Assist leadership in improving operational efficiency and data quality.

- How accurate and complete the as-built packages are.
- How much billing mismatch activity is reduced.
- How quickly closeout documents are completed and submitted.
- How consistent data remains across tracking systems.
- How promptly requests from internal teams and clients are handled.

Requirements
- A high school diploma or equivalent is required.
- 1 to 3 years of experience in cable, telecom, or construction settings is required.
- 1 to 3 years of experience in administrative support or project coordination is preferred.
- Working familiarity with the full construction project lifecycle, from initiation through closeout, is expected.
- Exposure to telecom infrastructure such as fiber/coax, aerial work, and underground work is important.
- Experience with financial reconciliation and billing processes is relevant to the role.
- Comfort working across Construction, Finance, and field operations is needed.
- Experience using project tracking systems and reporting tools is beneficial.
- Strong attention to detail and accuracy are essential.
- Solid organizational habits and accountability for assigned work are important.
- The ability to spot discrepancies and solve problems early is needed.
- Clear communication across departments is required.
- Prolonged sitting and computer use are part of the job.
- Occasional lifting of documents or office materials may be needed.
