About the Role
Dreamscape Learn, known for its immersive virtual reality learning experiences, is hiring a Production Coordinator to help keep daily production work organized and moving forward. This role supports scheduling, logistics, resource alignment, and cross-functional coordination so projects can be delivered smoothly and on time. It is suited to someone who is highly organized, adaptable, and comfortable working across multiple priorities in a fast-paced environment.
This is a temporary 1099 contract position.
Responsibilities
- Act as the primary contact for production-related needs, manage incoming requests, keep the team’s daily priorities on track, and support the Head of Production with planning timelines, milestones, and deadlines.
- Monitor how production work aligns with changing product deadlines, participate in cross-department discussions, and raise conflicts to the Content Production Team when needed.
- Track and report issues connected to SDK updates and product-related changes.
- Serve as the main liaison among departments, vendors, contractors, and crew, ensuring communication stays clear and updates are shared promptly across software and hardware functions.
- Handle production logistics such as purchasing assets, arranging travel, coordinating equipment, and securing other needed resources.
- Manage the intake and flow of work from external vendors and help integrate their deliverables into active projects.
- Coordinate requests from related teams, including Marketing, and ensure schedules and deliverables stay aligned.
- Maintain and update production schedules so all stakeholders remain informed about key dates, deadline shifts, and project changes.
- Work with the Content Production Admin Team on meetings and planning to ensure projects fit into the broader production slate.
- Organize production documents, contracts, and files, making sure paperwork is completed and stored properly and that information is accessible to the right people.
- Build and maintain systems for handling both confidential admin-only materials and information that needs to be shared with the wider team.
- Communicate with vendors and third-party contractors to keep deliveries and services on schedule and aligned with project needs.
- Verify that delivered assets integrate properly into systems and projects, including managing follow-up iterations and adjustments.
- Identify potential production risks early and take action to reduce disruptions and keep work moving.
Requirements
- Prior experience as a production coordinator or assistant in a busy production setting such as film, gaming, television, or digital media.
- Working knowledge of Microsoft Office tools, including Word, Excel, and PowerPoint, along with project management platforms such as Jira, Confluence, Asana, Trello, or Monday.com.
- Solid understanding of production workflows from pre-production through post-production and final delivery.
- Background in interactive media.
- Strong planning and organizational abilities, with the capacity to handle several tasks and projects at once.
- Clear written and verbal communication skills for working with a range of stakeholders.
- Ability to work independently with minimal supervision while collaborating effectively with cross-functional teams.
- Strong attention to detail and a proactive, solutions-focused approach to deadlines and challenges.
- Comfort with shifting priorities and changing timelines in a dynamic production environment.
- Resourceful problem-solving mindset when obstacles arise.
- Confidence in supporting multiple teams through project completion.
- Ability to build positive working relationships within a team.
Preferred Qualifications
- Experience on both smaller and larger production projects.
- Exposure to remote production coordination tools and virtual collaboration platforms.
- Bachelor’s degree in Film, Media Production, Communications, or a related discipline, or equivalent practical experience.
- Comfort working in a hybrid or remote setup, where applicable.
Compensation
Expected pay is $5,800 to $5,900 per month.
