About the Role

The Product Operations Administrator at CandleScience is instrumental in supporting and executing the processes across the entire product lifecycle, from initial concept through launch. Reporting directly to the Product Operations and Lifecycle Manager, this position manages product data accuracy, coordinates product launch activities, and ensures effective communication across teams. This role demands strong organizational skills, attention to detail, and collaboration to facilitate timely and precise product releases.

Key Responsibilities

  • Facilitate product launches from approval stages through publication on the ecommerce platform.
  • Provide regular updates to stakeholders on launch progress, potential delays, risks, and changes.
  • Maintain SKU data, digital assets, and product documentation within various business systems such as Solidus and Deposco.
  • Assist with project management workflows, including timeline and task tracking, using tools like ClickUp.
  • Identify operational inefficiencies and suggest workflow or automation improvements for better team productivity.
  • Track inbound shipments and production schedules, escalating risks when necessary.
  • Audit and ensure the accuracy and consistency of product information across systems.
  • Coordinate sample transfers to the Photography Team and verify that final assets are correctly linked to product listings.
  • Provide the Operations Team with necessary product information for labeling, production, and shipment fulfillment.
  • Prepare and coordinate documentation, marketing materials, and inventory status for launch readiness.
  • Manage the post-launch review process by scheduling meetings, collecting feedback, and organizing reports for the manager.
  • Maintain and update standard operating procedures (SOPs) and project workflows as established by leadership.
  • Perform additional duties as assigned.

Required Skills and Qualifications

  • Bachelor's degree or equivalent experience with 2-4 years in product operations, project coordination, ecommerce, manufacturing, or consumer goods sectors.
  • Solid grasp of product lifecycle processes, project tracking, and cross-departmental workflow coordination.
  • Excellent prioritization and multitasking abilities coupled with meticulous attention to detail.
  • Proficient in maintaining precise business data across multiple platforms.
  • Experience with project management and business systems like ClickUp, Solidus, Deposco, Microsoft Office, and Google Workspace.
  • Knowledge of content management systems (CMS) and website content maintenance.
  • Quick learner comfortable independently adopting new software tools.
  • Strong written and oral communication skills.
  • Able to collaborate across departments and foster strong professional relationships.
  • Highly organized, proactive, and committed to continuous process improvement.

Work Environment

Located in Durham, NC, this role may operate on a hybrid model with 2-3 onsite days weekly, as per company needs and budget. It involves extensive computer work, meetings, documentation maintenance, and cross-functional collaboration. Occasional physical tasks, such as lifting items up to 25 pounds, may be required.
