Job description

Role Overview

This position supports the procurement function by coordinating purchase orders, communicating with suppliers, tracking deliveries, and helping the team maintain accurate records, stock information, and compliance documentation. The role also contributes to vendor evaluation, budget tracking, and reporting for procurement and inventory activities.

Key Duties

  • Prepare and process purchase orders in line with departmental requests.
  • Follow up on purchase order progress to help ensure on-time delivery.
  • Work with vendors to settle any mismatches or issues linked to purchase orders.
  • Keep procurement files, records, and supporting documents well organized and up to date.
  • Liaise with suppliers to collect product details, quotations, invoices, and delivery status updates.
  • Support the assessment of vendor proposals and maintain updated supplier contact lists.
  • Assist senior procurement colleagues in handling supplier-related concerns.
  • Gather information needed for vendor review and evaluation activities.
  • Monitor stock levels and help prepare inventory reports.
  • Coordinate with internal teams to anticipate demand and suggest reorder points.
  • Take part in routine inventory checks to support accuracy and compliance.
  • Maintain stock records and escalate any discrepancies to management.
  • Ensure procurement work follows internal policies and applicable regulations.
  • Support the creation and rollout of procurement policies and procedures.
  • Help train staff on procurement processes and best practices.
  • Review procurement activities periodically to support compliance.
  • Compile simple reports on procurement performance and vendor results.
  • Assist in reviewing purchasing data to identify trends and improvement areas.
  • Maintain expense records to help with procurement budget monitoring.
  • Provide general administrative assistance to the procurement team when needed.

Requirements

  • At least 1 to 3 years of experience in procurement, purchasing, or supply chain operations.
  • Working knowledge of procurement workflows and vendor coordination.
  • Understanding of inventory management principles and common practices.
  • Strong eye for detail and good organizational ability.
  • Comfortable working with others in a team-based environment.
  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related discipline, or equivalent practical experience.
  • Procurement or supply chain certifications are considered an advantage.
  • Proficiency in Microsoft Office applications, especially Excel, Word, and PowerPoint.
  • Basic familiarity with procurement systems and related tools.
  • Strong analytical thinking and problem-solving ability.
  • Good communication and interpersonal skills.
  • Awareness of industry rules and compliance standards is beneficial.
