Role Overview

In this role, you will help keep procurement and day-to-day operations running smoothly by coordinating purchasing activities, vendor communication, office support, and internal administrative tasks.

Key Duties

  • Collect purchasing needs from operations leaders and raise requisitions, or work with the purchasing team to ensure requests are properly submitted.
  • Coordinate communication with vendors and help maintain smooth working relationships.
  • Support processing of P-Card transactions and travel & expense reports.
  • Liaise with maintenance vendors for facility-related needs.
  • Keep office supply inventory organized and replenish materials as needed.
  • Order marketing collateral and help support trade shows, client functions, executive events, and employee events.
  • Respond to routine customer and vendor inquiries by phone and email.
  • Follow up with managers to collect accounts payable documentation when required.
  • Assist with new hire onboarding tasks such as building access, badge creation, and orientation scheduling.
  • Arrange internal team meetings and provide general coordination support.
  • Take on other assignments as directed by the supervisor.

Qualifications

An associate degree in Business Administration, Accounting, or a related discipline is preferred. The position calls for at least 3 years of experience in administrative support, purchasing, or operations-related roles, along with hands-on exposure to vendor coordination, purchase requisitions, and accounts payable support.
