About the Role
We are seeking a Procurement Analyst to join a dynamic team in San Diego, California on a contract basis with the possibility of transitioning to a permanent position. This role is ideal for individuals who enjoy meticulous administrative tasks, have an aptitude for reviewing business contracts, and are skilled at organizing essential information accurately. The position involves collaboration with Accounting and IT departments, while also providing support to procurement, facilities, HR, and specialized services teams. This opportunity offers valuable exposure to vendor management and a potential pathway into more extensive procurement or contract administration roles.
Key Duties
- Examine incoming supplier contracts and document critical terms, deadlines, penalties, and risk factors in internal tracking systems.
- Manage large volumes of data entry, maintaining precise and organized spreadsheets that aid purchasing and contract functions.
- Utilize fundamental Excel functions to update logs, verify data, and keep contract and vendor information up-to-date.
- Input contracts into AI-powered systems, review the automatically extracted data, and ensure correctness through detailed manual checking.
- Identify any missing data, inconsistencies, or potential concerns within contracts, escalating issues when appropriate.
- Support routine purchasing operations by maintaining records and assisting with contract-related administrative duties.
- Handle a substantial number of contracts daily, focusing on straightforward agreements while maintaining thoroughness.
- Assist multiple operational areas including procurement, facilities, human resources, training activities, and vendor coordination for specialized services.
Required Qualifications and Skills
- Experience in procurement support, purchasing coordination, contract reviewing, or a similar administrative position.
- Strong command of written English with the capability to carefully interpret business documents.
- Proficiency in data entry and spreadsheet handling, incorporating common Excel formulas.
- Ability to maintain accuracy under a fast-paced workload managing numerous contracts and deadlines.
- Exceptional attention to detail and good judgment when reviewing AI-extracted or system-generated contract data.
- Comfortable working in a back-office environment requiring frequent document review and cross-team support.
- Bachelor's degree preferred; position is suitable for candidates initiating their career at entry level.
