Job description
Role Overview
The Personal Assistant to the Managing Director will deliver senior-level administrative, organisational, and coordination support to the MD, along with assistance to other business functions and involvement in ad hoc assignments. The role calls for strong judgment, careful handling of confidential matters, and the ability to operate effectively in a matrix structure spanning several countries and time zones.
Executive Support
- Oversee a demanding calendar, arrange meetings across multiple time zones, and balance competing priorities effectively.
- Coordinate regional leadership, board, budget, and internal or external meetings, including agenda preparation, minute-taking, and tracking follow-up actions.
- Organise all travel arrangements such as flights, accommodation, and visas where needed, and prepare detailed travel itineraries.
- Serve as a primary liaison for the MD with internal and external contacts, filtering and prioritising incoming communication.
- Draft, format, and polish presentations, reports, correspondence, and briefing documents.
- Handle sensitive and confidential information with the highest level of professionalism and discretion.
Support for Other Functions
- Provide day-to-day administrative help to other teams, including diary coordination, travel planning, meeting logistics, and document preparation.
- Assist with organising seminars and department events.
Ad Hoc Projects and Regional Initiatives
- Contribute to regional projects assigned by the MD.
- Help plan and execute events, workshops, and offsite activities.
- Carry out basic research, gather and organise data, and support analysis for decision-making.
- Monitor deliverables, action points, and project milestones to help ensure deadlines are met.
General Office Administration
- Keep electronic and paper filing systems well maintained and organised.
- Process expense claims, invoices, and purchase requests according to company policies.
- Support onboarding arrangements for incoming leadership hires when required.
- Look for opportunities to streamline administrative processes and improve efficiency.
Requirements
- At least 5 to 8 years of experience as a Personal Assistant or Executive Assistant, ideally supporting senior regional leaders or C-suite executives.
- Background in a regional or multinational environment.
- Proven ability to manage multiple stakeholders and shifting priorities.
- Excellent organisation and time-management capabilities.
- Strong written and spoken communication skills.
- High standards of discretion, integrity, and professionalism.
- Ability to work independently and anticipate needs before they arise.
- Sharp attention to detail while keeping the broader business context in view.
- Proficiency with Microsoft Office tools, including Outlook, PowerPoint, Excel, and Word, plus confidence using digital collaboration platforms.
- French language ability is an added advantage.
- Comfort working across cultures, time zones, and virtual teams.
- Flexible, adaptable, and willing to take a proactive, can-do approach.
- Prepared to provide support outside normal working hours when necessary.
