Role overview
This is an opportunity for an experienced Personal Assistant to work closely with a high-profile entrepreneur and business leader overseeing several active businesses across public markets, investments, and life sciences. The position is based in Dublin 2 and is entirely office-based, suited to someone who enjoys a demanding pace and senior-level executive support.
Working pattern
Monday to Friday, 9:00 am to 6:00 pm. This is a full-time, on-site position in Dublin 2.
Key responsibilities
- Handle a busy flow of emails across several inboxes and keep communication organised.
- Coordinate complex diaries and arrange meetings across different time zones.
- Provide audio typing support and transcribe dictated emails.
- Arrange business travel, including flights, hotels, ground transport, and full itineraries.
- Assist with onboarding and offboarding processes, along with related HR administration.
- Maintain and refresh a large contact database.
- Plan and coordinate both internal and external meetings.
- Carry out general office administration such as filing, stationery ordering, room reservations, and document handling.
- Prepare and process AML documentation.
- Track expenses, manage receipts, and reconcile company credit card statements.
- Welcome clients and ensure meeting rooms are ready in advance.
Experience and skills needed
- At least 4 years of experience in a similar Personal Assistant or Executive Assistant position.
- Excellent verbal and written communication abilities.
- Strong organisation skills and a high level of accuracy.
- Comfort working with sensitive information and maintaining discretion.
- Advanced working knowledge of Microsoft Office tools, especially Outlook, Word, Excel, and PowerPoint.
- Self-driven approach with strong initiative and reliable follow-through.
- Ability to manage priorities effectively in a busy, high-volume setting.
