Role overview
This is a talent pool notice for future fixed-term contract Personal Assistant opportunities expected later this year. By applying, you are agreeing that your profile may be reviewed for upcoming contract roles.
The position is based in White City, London, with a hybrid working arrangement. The assignment length is currently to be confirmed.
This is a fast-paced, varied support role for a highly organised PA who can manage competing priorities, work with confidence, and stay one step ahead of business needs. You will support multiple senior leaders by handling their administration, keeping schedules on track, and helping day-to-day office operations run smoothly.
Diary, meeting and travel coordination
- Take ownership of complex diaries that change frequently and require careful balancing of overlapping priorities.
- Organise meetings, secure rooms, and arrange catering for both internal and external attendees.
- Plan UK and international travel, including accommodation and detailed trip itineraries.
- Serve as the main office contact for visiting clients and high-profile guests.
Administrative and operational support
- Keep shared inboxes under control by filtering out spam and highlighting urgent messages.
- Coordinate onboarding arrangements for new starters, including equipment ordering and technology setup.
- Handle supplier setup, raise purchase orders, process invoices, and work with Legal on NDAs and Statements of Work where required.
- Track and submit monthly expense claims accurately.
- Create and format presentations in PowerPoint and/or Google Slides, and manage board papers.
Leadership and team support
- Support wider senior leaders with meeting arrangements and broader director-level commitments.
- Work in step with the internal PA community to keep the Senior Leadership Team aligned.
- Provide holiday and absence cover for colleagues across the PA network.
- Assist with planning events, workshops, and team away days.
Minimum requirements
You should bring proven PA experience supporting Director or Executive-level stakeholders, including managing several busy diaries at the same time. Strong command of Microsoft Office and Google Workspace is essential, particularly PowerPoint and Google Slides.
Experience working with senior stakeholders across an organisation is important, along with the ability to work independently, stay highly organised, and prioritise effectively when demands compete. You should also be a confident communicator with strong attention to detail.
Additional criteria
Experience or genuine interest in media and entertainment would be an advantage. This role calls for discretion when handling sensitive and confidential information, a collaborative mindset, and a flexible, creative approach to problem-solving.
You should be a proactive self-starter who can make sensible decisions without waiting for direction, and someone who is energetic, efficient, and comfortable building relationships across all levels of seniority.
