Role Overview
This fixed-term position until June 30, 2027, offers a multifaceted role that combines high-level executive assistance for two Senior Leadership Team (SLT) members with office management duties alongside the Executive Assistant to the CEO. This role is crucial in ensuring smooth office operations and supporting a thriving workplace culture, including hybrid working options within an inclusive environment.
Key Responsibilities
- Manage and coordinate diaries proactively, schedule meetings efficiently, and organize travel and expense claims using tools such as Expensify and Travelcard.
- Arrange and facilitate executive meetings by handling invitations, logistics, agendas, minute-taking, and tracking action items.
- Collaborate with the Executive Assistant to oversee ordering of office supplies, including groceries and stationery; maintain kitchen stock and equipment; ensure meeting rooms and common areas are safe, tidy, and well-stocked.
- Act as Secretary to the Social Committee by managing event logistics for shared lunches, morning teas, celebratory gifts, and flowers; update internal intranet with photos and news to support company culture.
Candidate Requirements
- Demonstrated high emotional intelligence with excellent organizational and planning skills; capable of working autonomously to achieve business goals.
- Prior experience in a similar personal assistant or office management role, with proficiency in document handling and office systems. Familiarity with G Suite is preferred, but candidates adept in Microsoft Office 365 can transition effectively.
- Strong communication abilities paired with the capacity to cultivate trusted relationships with stakeholders at various levels.
- Ability to anticipate potential challenges and respond with composed and practical solutions.
- A positive, proactive attitude when managing competing priorities and delivering results.
