About the Role
We are seeking a dedicated and proactive Personal Assistant to provide constant support to a senior executive throughout their workday. This role is crucial for ensuring the executive's daily schedule runs seamlessly, from initial meetings to final tasks. The position requires readiness for immediate travel, including frequent domestic and international trips.
Day-to-Day Responsibilities
- Accompany the executive daily, requiring a constant in-person presence.
- Manage and update the executive's calendar in real-time to maintain punctuality.
- Prepare, organize, and distribute meeting materials and presentation decks.
- Arrange for meals, coffee, and refreshments as needed throughout the day.
- Undertake various errands, including item pick-ups, store visits, and coordinating deliveries.
- Handle luggage and personal belongings during travel.
- Compose and dispatch professional emails and correspondence on behalf of the executive.
- Arrange all travel logistics, including flights, accommodations, ground transportation, and detailed itineraries.
- Be available to work on weekends and outside standard business hours as dictated by the executive's schedule.
- Proactively anticipate needs and address them efficiently without prompting.
Requirements
- A Bachelor's degree is mandatory.
- Exceptional written communication skills are essential for drafting polished, professional correspondence.
- Proficiency with calendar management tools, email platforms, and standard office software is required.
- Must be able and willing to travel frequently, on short notice, both domestically and internationally; this is a non-negotiable aspect of the role.
- Flexibility to work on weekends and extended hours as required by the executive's schedule.
- Physical capability to manage luggage and on-the-ground logistics during travel.
- Demonstrated discretion, reliability, and trustworthiness at all times.
- Ability to remain calm under pressure and maintain a service-oriented approach.
Additional Information
The candidate should have a proven history of designing and bringing commercial products to market. Experience with user-centered design methodologies, human factors engineering, and DFMA best practices throughout the product development lifecycle is beneficial. Understanding of current brand trends, perceptions, and overall interactions is important, as is the ability to articulate insights and creatively synthesize analysis to empathize with both consumers and clients, thereby helping to meet their objectives.
