Role Overview
This position entails supporting an executive with daily operational and administrative tasks including scheduling and communications across multiple African countries.
Key Responsibilities
- Coordinate daily operational activities to support the executive effectively.
- Manage and arrange both on-site and virtual meetings across various branch offices in Africa, handling calendar conflicts and accommodating different time zones.
- Organize comprehensive travel plans, including flights, accommodations, ground transportation, and manage multi-country visa applications with necessary documentation.
- Create detailed multi-destination itineraries for travel throughout Africa.
- Serve as a communication link with branch managers in different time zones, proactively obtaining necessary updates and reports to ensure smooth information flow between headquarters and branches.
- Draft official correspondence such as letters, memos and prepare formal corporate documents, including minutes of board meetings, resolutions, and internal communications.
- Maintain and organize an efficient filing system, physical or digital, with alerts for important deadlines, ensuring easy access and up-to-date records.
Required Qualifications and Experience
- At least 1 to 3 years experience as a Personal or Executive Assistant.
- Demonstrated expertise supporting international business operations, preferably with experience related to African regions.
- Proficient in MS Office applications including Word, Excel, Outlook, and PowerPoint.
- Familiarity with online meeting tools such as Zoom, Microsoft Teams, and Google Meet.
- Skilled in using cloud filing solutions like Google Drive, SharePoint, and Dropbox.
- Strong command of written English with the ability to draft formal corporate documentation.
